POSITION DESCRIPTION:

Title Collateral Specialist

 

Department:       LENDING

Classification:      Non-Exempt 

Reports to:            Lending Manager                                                                                       

 

 

 

GENERAL DESCRIPTION: 

Responsible for effectively recording, tracking, and releasing credit union collateral related to consumer loans, including vehicle titles, and titles for other equipment. Responsible for receiving, reviewing, and processing title paperwork in a timely manner. Ensures members’ title needs are promptly and professionally conducted.  Serves as an integral team member of the Lending Department. 

 

 

ESSENTIAL FUNCTIONS: 

Performs essential duties and responsibilities in the following areas which may include, but are not limited to those listed, and are subject to change:

  1. Adheres to the Credit Union's core values in carrying out Carolinas Telco’s mission and vision. 
  2. Monitors electronic and non-electronic filing states through respective systems in a timely manner, to ensure collateral records are accurately recorded and correspond to loans held by Carolinas Telco FCU.
  3. Works collaboratively with electronic & non-electronic filing states, Department of Transportation, city/county offices and Secretary of State either by respective website, email, phone, USPS and or in person office visit to complete collateral documentation/recordings.
  4. Receive, review and verity title documents for accuracy and completeness.
  5. Ensure collateral liens are perfected in accordance with company policies and state/federal regulations.
  6. Track, monitor and maintain physical titles as applicable.
  7. Track, monitor and maintain collateral fee GL; recording/tracking fee(s) assessed per loan and facilitates payments as necessary for collateral recording.
  8. Reviews paid off loan report daily; process lien releases in a timely manner upon closure/satisfaction of loan; ensure titles are properly mailed, transferred or electronically released to the appropriate party.
  9. Researches and assists in resolving discrepancies, missing documents, title issues/questions before or after loan funding.
  10. Track, monitor and maintain collateral insurance coverage; update Core loan record with relevant insurance, address and titled name information; update all applicable trackers and databases to reflect document status.
  11. Identify opportunities to improve workflow efficiency and accuracy in title or collateral processes.
  12. Complies with all federal, state, and organizational policies, procedures, and processes, including (but not limited to) the Bank Secrecy Act (BSA) and Office of Foreign Assets Control (OFAC). 
  13. Resolves all members' requests and questions promptly and courteously.   
  14. Demonstrates teamwork in all interactions with coworkers and in the completion of all duties and responsibilities.
  15. Performs other duties as assigned.

 

 

PERFORMANCE MEASUREMENTS

  1. Title and Collateral functions are effectively performed in accordance with established Carolinas Telco FCU’s policies and within legal and regulatory requirements. Members' problems are courteously and promptly resolved.
  2. Recordkeeping, tracking and reports are accurate, timely and provided to all stakeholders as required.
  3. Good working relationships with members, credit union staff, management and third-party vendors.
  4. Title and collateral documents and related data are closely and effectively analyzed and evaluated.
  5. Exhibits ongoing commitment to the enactment of organizational core values. 

 

 

QUALIFICATIONS

  1. Associate degree in a related field (Lending, Finance, Accounting) or equivalent experience in financial services/lending environment. 
  2. 1–3-year(s) loan processing, documentation, title processing experience (automotive, watercraft, UCC filings), collateral and records management.
  3. Experience with title management systems and loan origination systems.
  4. General working knowledge of title recording process and collateral procedures. 
  5. Attention to detail and effective problem-solving skills.
  6. Self-directed with the ability to meet deadlines.
  7. Work effectively with key stakeholders to complete tasks.
