GENERAL DESCRIPTION

This role is perfect for a proactive, organized, responsive, self-motivated individual that enjoys being the point person for a fast-paced legal team. To succeed in this role, one must be detail-oriented, adaptable, able to work with changing priorities and deadlines, and energized by tackling problems and devising solutions. Supporting the entire legal team and ensuring a smoothly functioning department is the foundation of this role. This position reports directly to the Chief Legal Officer. The ideal candidate is someone who wants to be a subject matter expert on critical legal functions and applications (Coupa, Legal Tracker, Net Documents, Office 365 Suite), thrives on constant learning and growth, is energized by new challenges and opportunities, and thinks like an owner. This is a results-oriented team with a positive culture in a collaborative environment.

ESSENTIAL DUTIES

1. Legal Department Strategy & Efficiency:

  • Monitor, investigate, and timely direct all communications sent to DL-Legal Correspondence folder to the proper business partner.
  • Develop and implement processes, procedures, and strategies to streamline legal operations.
  • Analyze and optimize workflows to improve efficiency and effectiveness across legal functions.
  • Partner with legal and business teams to understand objectives and align legal operations with overall company goals.

2. Financial Management:

  • Oversee budgeting, forecasting, and financial tracking for the legal department.
  • Manage relationships with external law firms and vendors, including negotiating fees, contracts, and ensuring compliance with service level agreements (SLAs).
  • Track legal spend, manage all aspects of the legal billing, quarterly accruals, and invoice approval
  • processes, analyze cost data, and identify opportunities for cost reduction or reallocation of resources.

3. Technology & Systems Management:

  • Implement and manage all aspects of legal technology systems (e.g., Coupa, Legal Tracker, NetDocuments, Office 365 Suite).
  • Ensure proper integration of tools, equipment, and supplies to streamline workflow and document management within the legal team.
  • Manage subscriptions, software licenses, and memberships.

4. Vendor & External Counsel Management:

  • Manage relationships with external counsel, ensuring efficient service delivery and cost control.
  • Lead initiatives to assess, select, and manage outside law firms and legal service providers.
  • Monitor and review external counsel performance and provide feedback to ensure continuous improvement.

5. Data Analytics & Reporting:

  • Develop metrics and KPIs to measure the performance and effectiveness of the legal department.
  • Regularly prepare and present reports on legal department activities, spend, and performance to the CLO
  • Leverage data analytics to support decision-making and improve operational efficiency.

6. Compliance & Risk Management:

  • Support the legal team in managing compliance and regulatory requirements.
  • Develop and maintain systems for tracking legal risks, claims, and regulatory changes that affect the
  • organization.
  • Collaborate with other departments to ensure organizational compliance with relevant laws and regulations.

7. Team Management & Development:

  • Recruit, onboard, train, lead and mentor legal operations staff, fostering a collaborative and high-performing team environment.
  • Identify opportunities for professional development and training within the legal department.
  • Administer timecards, time off requests, and vacation schedule
  • Manage cross-functional teams and collaborate with other departments (e.g., finance, IT, procurement) to drive operational excellence. o Plan meetings and events 8. Continuous Improvement & Innovation: o Stay current on legal technology trends, industry best practices, and innovative approaches to legal operations.
  • Promote a culture of continuous improvement, encouraging innovation within the legal department.

MINIMUM REQUIREMENTS

  • Bachelor's Degree or equivalent professional related experience of 3-5 years preferred
  • Adept in MS Office 365 (Excel, Word, Teams, and PowerPoint) and Acrobat
  • Exceptional written, verbal, and interpersonal skills
  • Strong office technology knowledge and experience
  • Expertise with document management systems and matter management systems such as Coupa, NetDocuments and/or Legal Tracker a plus
