The Clinical Supervisor supports the physician and clinical staff in the delivery of health care by performing operational oversight responsibilities of all back office operations, human resource responsibilities, as well as patient care assessments, and a variety of medically related tasks.
Job Duties and Responsibilities
Oversight of Clinical Functions:
- Coordinates all administrative (back office) clinical functions of the medical practice.
- Assists in the development, review, and revision of standard operating policies and procedures in collaboration with senior management.
- Maintains vital staff certifications and licensing requirements.
- Performs administrative functions as needed, which can include answering and triaging telephone calls for patient care matters, functioning as a liaison between physicians, patients and staff, chart preparation for clinical care, and assisting with and functioning as a liaison to front office functions.
- Coordinates or serves as liaison, for administrative support activities including facilities management, pharmacy, utilization management, quality management, risk management, human resources, and payroll.
- Controls wage and non-wage expenses, including pharmacy and medical supplies, in accordance with budget.
- Works in a collaborative role with the management team, staff and physicians in the clinical practices, as well as related departments throughout the organization.
- Function as key point person in research, setup and implementation of new procedures, workflows, equipment, as needed or requested
Patient Care:
- Manages patient care flow and takes a leadership role within the back office.
- Coordinates with back office team the preparation of charts as needed, including filing into appropriate sections of medical record and ensures that all pertinent items are available to provider before patient care commences.
- Serves as an advocate for patient and utilizes appropriate resources.
Leadership:
- Functions as key liaison in new project development and patient care redesign initiatives.
- Acts as a role model in providing care; precepts new staff.
- Provides orientation and training for new clinical staff.
- Assist with personnel recruitment, selection, coaching and other aspects of performance management.
- Recommends areas of improvement, analyzes workflows to achieve standard methodology.
- Assess workflow of back office staff and schedule accordingly, covering absences, illnesses, and breaks.
- Provide review of MA skills and performance abilities using designated evaluation tools.
- Partners with management in the identification of needed areas of staff improvement and/or deficiencies.
- Appropriately and effectively communicates all concerns to operational management team.
- Demonstrates an ability to be a Superuser of all vital electronic practice systems. Ability to quickly learn new systems as needed. Ability to suggest improvements to current systems and participate in system design and improvements.
- Trains back office staff about systems needed to perform current job duties, including, but not limited to Advanced MD.
Experience
- Three (3) or more years of experience in medical setting preferred.
- Proficient computer skills preferred.
- Supervisory skills with previous medical office management and/or supervisory experience sufficient to address staffing and human resources preferred.
- Strong interpersonal skills, especially in the areas of patient and physician relations
- Consistent track record with customer service, training, and ability to empower others to effect positive change.
Qualifications:
- Employee must be in good standing (no documented counseling, suspension or disciplinary issues in a 12-month period).
- The employee must have at least 6 months consecutive service in his/her current position before he/she is eligible to apply.
