We are currently seeking a skilled Medical Assistant/Patient Services Representative to join our Dermatology team in Cheektowaga, NY!

The Medical Assistant/Patient Services Representative plays a vital role in the clinic, providing both clinical and clerical support to ensure the smooth operation of the practice and assist our providers. 


 Responsibilities: 

  • In this Dual role, employee works in each position based on operational needs 
  • Welcomes visitors in a professional and friendly manner, determines nature of business, and announces visitors to appropriate personnel
  • Coordinates and prepares patient’s appointments and itinerary
  • Collect and scan insurance and other required documents
  • Confirm patient insurance eligibility and verification
  • New patient intake including data entry into EMR
  • Invites every patient to join the patient portal and includes proper paperwork and education to the patient
  • Patient check-out
  • Answers telephones, routes callers, takes messages and provides routine information to callers
  • Acts as a liaison between patient and physician and other incoming Institute and community calls
  • Monitor’s voicemails and returns calls
  • Call no show appointments
  • Creates and mails patient letters (no show and 3 call attempt)
  • Provides assistance to patients and family members; refers questions to the appropriate personnel
  • Maintains, sorts, files, and obtains patient records, files and/or charts
  • Retrieves patient records, test results and/or charts from outside sources
  • Coordinate’s referrals, as directed, to providers outside of the practice
  • Prepares paperwork and patient records related to their area of responsibility
  • Interact with fellow workers in a way that promotes a respectful and cooperative working environment
  • Assists nurses, physicians, and other clinical and/or medical personnel with clerical support
  • Accurately and efficiently respond to tasks received from providers and staff
  • Open and close the patient waiting room
  • Utilize spare time in work related activities which contribute to the clinic's needs
  • Must adhere to policies, procedures and regulations as outlined in the office policy and procedures manual
  •   Completes chart prep 24-48 hours prior to patient appointment to ensure chart is complete with notes, pathology report, test results, medications, allergies, etc.
  •   Timely and accurate documentation in the Electronic Medical Record (EMR)
  •   Assist with surgical procedures using sterile technique 
  •   Clean, disinfect and package surgical instruments
  •   Possess knowledge of autoclave operation, maintain maintenance and log documentation  
  •   Maintain biopsy log 
  •   Maintain confidentiality of all current and former patients/charts as required by clinic policy and governing laws
  •   Follow proper protocol for securing workstation when walking away
  •   Document in the EMR using only your assigned login
  •   Escorts patients to exam room, obtain vitals, updates patient history, reconciles medications, allergies, and any required quality data
  •   Provides patient with orders, education and medication instructions as directed by Provider
  •   Cleans and prepares exam rooms for each patient
  •   Empties hazardous waste receptacles when full
  •   Identify and properly label all specimens for testing
  •   Follows up on Electronic Medical Record documents routed by the Providers
  • May intercept patient phone calls regarding clinical issues
  • Stock exam rooms with medical supplies, as necessary
  • Duplicates and distributes photocopies, as needed
  • Assists in training other staff members on the appropriate use of equipment, office systems and work procedures as requested
  • Assists other departments with administrative duties, as requested
  • Update HealtheLink, as requested
  • Attends meetings as required
  • Performs other related duties as assigned or requested

Requirements

Education/Experience: 

  • Preferred Successful completion of an accredited medical office assistant education program 

        OR

  • High School diploma or G.E.D. and the equivalent of one (1) year of full-time clinical medical assistant and phlebotomy experience
  • 1 year experience in medical office setting
  • 1 year experience with EMR, patient calls, and registration preferred.
  • Must be flexible to work split time with front desk reception and room patients. 

Certifications/Licenses:

  • BLS Certification is required
  • Medical Assistant Certification preferred
