GENERAL DUTIES
Provides liaison with the Board of Directors, physician and community leaders, professional healthcare organizations, and senior executives in a timely and confidential manner to facilitate accomplishment of organization's mission and goals.
Manages senior management calendar, scheduling and confirming appointments. Determines priorities independently or in consultation with executive.
Assists senior management in time management, ensuring that meetings begin and end on time, building travel time into schedule, and minimizing interruptions.
Coordinates internal and external meeting arrangements, including invitation and registration process, facilities, catering and logistics, as well as travel and hotel arrangements as needed.
Compiles meeting agenda, gathering information (often of a highly confidential nature) from multiple sources, and ensures that materials are assembled and distributed in a timely manner.
Prepares, edits, and proofreads letters, memoranda, and presentations from notes or independently, often of a complex and confidential nature.
Designs and creates formats and lays out presentations and documents, using advanced features of MS Office applications (Word, Excel, Power Point).
Reviews, determines appropriate disposition of, and responds to mail, faxes, and email.
Attends meetings, takes notes, and prepares summaries or minutes.
Reviews, and prepares correspondence and presentations accurately and in a timely manner.
Compiles and maintains data, correspondence and documentation to ensure availability of complete, accurate, and up-to-date information and accomplish assigned tasks.
EXPERIENCE QUALIFICATIONS
1 year of relevant office experience reporting to an executive in a healthcare setting.
EDUCATION QUALIFICATIONS
High School Graduate
KNOWLEDGE, SKILLS, AND ABILITIES
- MS Office Suite expertise.
- Exemplary interpersonal skills, discretion, mature demeanor, professional presence.
- Minimum 75 wpm typing.
