Job Title:  Department Administrator - Assessment, Advisement and Records

 

Wage/Hour Status:  Exempt

 

Pay Group:  A80 Salary Plan

 

Primary Purpose: Administering the assessment, advisement, intake/ and records processes.

 

Qualifications:

 

 

Education/Certification/Experience:

 

Master’s degree in Education, Counseling, Social Sciences, Social Work, or Criminal Justice.

 

Three years full-time, wage-earning experience in counseling and/or administration of an education or assessment program.

 

State Board for Educator Certification (SBEC) for Professional School Counselor and/or Mid-management Principal Certificate or valid equivalent out of state certification preferred.

 

Supervisory experience preferred.

 

Experience in training, counseling or assessment preferred.

 

This position requires personal technology that will enable the completion of job duties and responsibilities when working remotely.

 

Special Knowledge/Skills:

 

Strong organizational, communication, and interpersonal skills.

 

Skill to interpret and apply rules, regulations, policies and procedures.

 

Knowledge of agency and departmental policies.

 

Excellent oral and written communication skills

 

Proficient in computer skills (Excel and PowerPoint).

 

A working knowledge of standardized testing, test development and administration is preferred.

 

A working knowledge of student counseling, placement, career planning, and guidance is preferred.

 

Major Responsibilities and Duties:

 

1. Coordinate and oversee the training of student advisors, principals and testing personnel, in coordination with the Student Advisor Specialists, with respect to test administration, advisement, placement, career planning, orientation, postsecondary and instructional leadership

 

2. Develop and implement professional development at the campus, regional and state wide level.

 

3. Assist with the development and revisions to policies and procedures related to assessment, advisement, intake and records processes.

 

4. Oversee the development and maintenance of the training and procedures manuals for the Assessment, Advisement and Records Department.

 

5. Coordinate the GED and educational achievement (EA) testing programs to include monitoring of testing schedules and investigation of testing irregularities

 

6. Serve as the Chief Examiner for the district’s GED testing program.

 

7. Maintain proper security and inventory control over all assessment materials.

 

8. Develop processes to identify students career interest and aptitude.

 

9. Work collaboratively and coordinate effectively with individuals, agencies, and departments, TDCJ and/or businesses/industries to improve the quality of district programs to define the goals and objectives of the advisement program in support of the district’s mission.

 

10. Work in partnership with the Operational Support Department to maintain the system to facilitate the transfer of students to various campuses for programming needs based on career interests and individual educational data.

 

11. Prepare the annual budgets for the Assessment, Advisement and Records departments.

 

12. Work closely with the Information Technology Department to ensure assessment platforms function as expected on the district’s infrastructure.

 

 

Policy, Reports, and Law:

 

13. Prepare statistical reports and/or analyses of testing results and routine “in-house” reports.

    

14. Maintain confidentiality in handling sensitive information received in the performance of the job duties.

 

15. Perform duties in a professional manner through daily, punctual attendance at location of work assignment.

 

16. Follow Windham School District policies and procedures in completing assigned job duties and other duties as assigned.

 

17. Execute duties in a professional, ethical and responsible manner as defined in 19 TAC Chapter 247, Code of Ethics and Standard Practices for Texas Educators.

 

Supervisor Responsibilities: Supervise assigned professional and paraprofessional staff.
