Job Description Summary

Budget Specialist to manage all of the dean’s accounts, approve expenditures and track spending in the College of Arts and Science (CAS). The Budget Specialist maintains spreadsheets for all financial accounts in the Dean’s office, verifies them against monthly reports, maintains database of all budgetary commitments, and provides CAS leadership with analysis of current and projected needs based on historical data, anticipated income, and current outstanding commitments.

Job Description

The Budget Specialist

  • Approves all expenditures utilizing a CAS Cost Center, Miami Specified, or Gift account.

  • Reviews and approves purchases made on departmental P-cards; tracks spending of startup funds for the CAS and spending of special program funds, which includes faculty startup accounts, approximately 35 Dean’s Scholar accounts, 15 Hughes Scholars accounts, and numerous Student Tech Fee accounts.

  • Distributes funds to departments: annual budget, equipment funds, research funds, startup funds, recruitment funds, student enrichment funds, to include verifying expenses and appropriate use of the fund.

  • Assists in annual review of all CAS policies and procedures, including budget, travel, Hughes Scholars, Dean’s Scholars, etc., and publishes them to the departments.

  • Provides support to all CAS departmental office personnel in matters related to proper procedures, assists in training new staff on budget procedures, and acts as liaison with Purchasing and Accounts Payable on ways to handle special situations as they arise.

  • Initiates all purchases for the Dean’s office, Advising, IT-support, Strategic Initiatives, and Pre-Law; collects equipment requests, notifies departments of items approved for purchase, and oversees their purchase.

  • Other duties as assigned by the Dean.

Minimum Requirements:

Required: Bachelor’s degree and three years demonstrated ability in managing budgets.

Consideration may be given to applicants with:

  • Excellent organizational, time management, verbal and written communication skills.

  • Proven ability to collaborate with a wide range of populations including faculty, chairs, budget/finance groups, and administrative staff.

  • Strong analytical and strategic thinking skills.

  • Ability to exercise discretion and confidentiality in all matters.

  • Familiarity with the departments and programs of the College of Arts and Science.

  • Understanding of Workday especially the FIN Module.

  • Experience working with multiple types of data sets and fluency in Microsoft Excel.

  • Experience with budgets at the University level.

  • Knowledge of Miami University’s policies and procedures.
