Summary:
The Quality Assurance Coordinator is responsible for monitoring and maintaining the quality of services provided by Envision Unlimited to people with developmental disabilities and mental health concerns. This role involves evaluating and improving processes, implementing best practices, and ensuring compliance with relevant regulations and standards.
The Quality Assurance Coordinator plays a vital role in ensuring that Envision Unlimited consistently delivers high-quality services to people with developmental disabilities and mental illness. By maintaining a focus on quality improvement and compliance, this role contributes to the well-being and development of people receiving services by Envision Unlimited.
The Quality Assurance Coordinator works in a fast-paced, mission-oriented and data-driven environment where people receiving services and with lived-experience are at the center of the work. The incumbent will need to have the ability to work independently while also being proficient at teamwork and collaborating effectively with a myriad of departments and staff of varying levels - all dictated by a range of rules, standards, and ethical consideration. In this role, you will be one of the faces representing the Quality Assurance department, which requires a high level of professionalism, subject-area proficiency, and flexibility with everyday tasks. You will cultivate a balance between data collection and analysis, training and development, and compliance versus quality enhancement. This is represented as managing multiple high-level projects at once and having the opportunity to hone your skills in a wide range of Continuous Quality Improvement (CQI) areas in a nonprofit space.
Essential Responsibilities, include but are not limited to:
Quality Assessment and Monitoring:
- Conduct regular evaluations of the organization's programs and services to ensure they meet or exceed established quality standards.
- Complete service billing, note, and file reviews on a monthly and quarterly basis within various agency programs.
- Support the Associate Director with the completion of annual reports, satisfaction surveys, and other CQI projects.
- Chair or co-chair agency committees tasked with monitoring agency-wide safety and risk management, file audits, and others as needed.
Compliance, Audits, and Inspections:
- Stay current with all applicable laws, regulations, and industry standards related to services for people with developmental disabilities and mental health concerns.
- Support agency staff and QA department with audits and accreditation visits from external bodies, including IDHS BALC and BQM, CQL, CARF, and various funders.
- Track and report upon compliance items related to emergency drills and fire marshal compliance for all agency sites.
- Perform in-person inspections of agency sites, including group homes and day program sites, on a recurring basis throughout the Chicagoland area. Follow-up visits with reports on the inspection and corrective action plans.
Data Management and Reporting:
- Maintain a system for tracking and reporting quality-related data.
- Generate reports to communicate findings and progress to management and relevant stakeholders.
- Reports include reviews of child welfare program (foster care) case notes, IDD program billing, and mental health service documentation.
Continuous Improvement:
- Identify areas where services can be enhanced and develop improvement plans.
- Work with staff to implement changes and monitor the results.
Staff Training and Development:
- When identified, conduct training sessions for staff members on quality standards, compliance, and best practices.
- Provide technical assistance regarding quality improvement to agency staff, including sharing recommendations for addressing barriers to CQI, data management/collection, and technology usage.
- Act as a champion for person-centered values, rules/regulations, and relevant legislation impacting services and supports for people with IDD, mental health concerns, and other people receiving services.
Documentation and Record Keeping:
- Maintain detailed records related to quality assurance efforts, audits, and corrective actions.
- Utilize multiple EHR and case management systems to create reports, identify data, and review documentation.

QUALIFICATIONS
To perform this job successfully an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill and/or ability required.
EDUCATION, SKILLS, and/or EXPERIENCE
- Bachelor's degree in a relevant field (e.g., social work, psychology, healthcare administration).
- 1 – 3 years of experience in quality assurance, compliance, or a related field, or a desire to learn.
- Strong project management skills.
- Strong analytical and problem-solving skills.
- Excellent communication and interpersonal skills.
- Ability to work collaboratively and independently.
