The Ambulatory Operations Project Manager for the Capacity Management team provides strategic support for provider access initiatives across the Jefferson Medical Group (JMG). This role provides internal schedulers and patients a standard, comprehensive approach to appointment availability across the enterprise. The Ambulatory Operations Project Manager facilitates access-related operational improvements to the outpatient experience for patients, providers, and staff. Works closely with leadership, as an internal consultant, to develop, implement, and sustain leading practice models for ambulatory practice management, including training, planning, and coordination of shared services, facility management, and general practice operation.

Job Description

  • Responsible for building, maintaining, and modifying centralized scheduling templates for all scheduling providers, including resource providers
  • Ensure all approved template changes follow change management procedures and protocols and align with Jefferson’s template strategy guidelines
  • Provide impact analysis for master template changes
  • Collaborate with Ambulatory practice administrative and clinical leadership on template optimization through the use of Epic Cadence functionality and advise on best practices
  • Participate in department meetings that address patient access-related metrics
  • Identify potential access limiting factors and develop possible solutions for department collaboration
  • Monitor the effectiveness of access-related initiatives using data analysis via Qlik Reporting, Epic Reporting Workbench, and excel
  • Strategize operational and technical methodologies to enhance patient self-scheduling for both patients and the ambulatory practices
  • Present, demonstrate, and train internal staff on access and capacity strategies and initiatives
  • On-board providers on scheduling decision tree and open scheduling platforms
  • Guides and coordinates implementation, process improvement, policy development and change management projects with staff members, other departments and vendors involved in ambulatory care projects or other ad hoc projects.
  • Recommends changes to outpatient metrics, ensures changes are implemented and communicated. Provides counsel and support to practice leaders throughout design and implementation by helping practices:
    • Iterates on design, if needed, always keeping project outcomes in mind to test whether design can support meeting expected performance
    • Overcomes perceived and actual roadblocks
    • Implements and sustains change
  • Exercises standard project manager skills including monitoring timelines, staffing resources, and available funding to ensure successful initiative outcomes. 
  • Collaborates with management, staff, and other stakeholders to identify training opportunities/gaps for new and existing employees; develop testing and evaluation procedures to ensure program effectiveness.
  • Rotate with peers for on-call schedule within business hours (Mon-Fri 7a-6p)
