POSITION OVERVIEW:

 

Title: Administrative Assistant

Reports To: Health Center Manager

Wage Range: $21-$26.50 Per Hour

Schedule: M-F; 8-5

Status: Non-Exempt

Summary: Under the direct supervision of the Health Center Manager, the Administrative Assistant provides essential administrative and secretarial support to the executive and administrative staff. This role involves a variety of clerical duties such as typing, filing, and scheduling, along with coordinating meetings and conferences, procuring office supplies, and managing special projects. The Administrative Assistant handles highly confidential and sensitive information and interacts with a diverse group of external callers, visitors, and internal staff at all levels of the organization. Independent judgment and the ability to prioritize, plan, and organize a diversified workload are essential. This position requires adaptability to the evolving needs of a growing agency.

 

PRIMARY RESPONSIBILITIES: (Will include but not limited to)

 

  • Administrative Support:
  • Maintain and organize correspondence, files, and records in accordance with Health Center policies.
  • Ensure confidentiality and security of all TMWIHC records and sensitive information.
  • Assist with documentation management, including companywide document cleanup and standardization efforts.
  • Prepare letters, memoranda, reports, and other correspondence as directed.
  • Screen, route, and take messages for incoming calls and emails in a professional manner.

Meeting and Event Coordination

  • Serve as recording secretary for assigned meetings, including preparing agendas, assembling packets, and distributing minutes.
  • Coordinate meeting logistics, such as scheduling, room setup, virtual links, and audiovisual needs.
  • Maintain and archive meeting materials for organizational reference and compliance purposes.
  • Assist in planning and coordinating organizational events including staff trainings, recognition events, Health Board functions, community gatherings, and other agency-related events as assigned.
  • Support leadership and outreach staff in event preparation, material distribution, and post-event follow-up.

Policy and Procedure Support

  • Assist with the development, formatting, and maintenance of organizational policies and procedures.
  • Support communication and dissemination of updated policy materials to staff and leadership.

Compliance and Professionalism

  • Adhere to HIPAA and confidentiality regulations at all times.
  • Communicate and interact professionally with vendors, partner agencies, and medical professionals.
  • Exhibit professionalism and a customer-service-oriented approach in all interactions.

 

Work Environment and Skills:

    • Work independently and as part of a team
    • Maintain professionalism under pressure in a fast-paced environment
    • Handle sensitive matters with discretion and tact
    • Proficiency in Microsoft Office required.
    • Detail-oriented, capable of handling multiple tasks simultaneously
    • Strong written and verbal communication skills to engage effectively with staff and external stakeholders

 

QUALIFICATIONS:

 

Education and Experience:

 

  • Pattern I: High school diploma or GED and 4 years’ experience as an Administrative or Executive Assistant
  • Pattern II: Associate’s degree and 2 years’ experience as an Administrative or Executive Assistant

 

Preferred Qualifications:

 

  • 2+ years of experience working with Native American populations in a healthcare setting

 

PHYSICAL REQUIREMENTS:

 

This position requires walking, standing, and sitting for prolonged periods; climbing stairs and stepstools; stooping, kneeling, crouching, balancing, and reaching; pushing, pulling, and lifting to 30 pounds; and raising objects overhead. The role also requires manual dexterity for operating computers and phones, as well as hearing, talking, and strong verbal and written communication skills.

Repetitive motions of the wrists, hands, and fingers are involved. The employee may be subject to outdoor environmental conditions such as heat and cold, and will be required to walk on uneven ground. The position also requires the ability to safely operate and drive a motor vehicle.
