Position Summary

 

Reporting to the Associate Vice President of Special Projects, the Assistant Vice President of Special Projects (AVP-SP) serves as a key administrative leader within the Office of the Chief of Staff. The AVP-SP plays a critical role in planning, coordinating, and delivering high-priority institutional initiatives that advance Livingstone College’s mission, strategic goals, and operational excellence.

This position works closely with the President, Chief of Staff, Cabinet members, and senior administrators to translate institutional strategy into actionable results. The AVP-SP manages project scope, aligns resources, tracks KPIs, coordinates cross-functional efforts, monitors performance metrics, and ensures that all assigned projects are completed on time, within budget, and to a high standard of quality.

The ideal candidate will demonstrate exceptional organizational, analytical, and interpersonal skills; a strong commitment to collaborative leadership; and a proven record of driving complex, multi-stakeholder projects to measurable outcomes in a higher education in a nonprofit setting.

Essential Duties & Responsibilities

Project Management and Strategic Support

  • Coordinate, monitor, and track progress of institutional special projects and strategic initiatives assigned by the Associate Vice President of Special Projects.
  • Develop project timelines, milestones, deliverables, and accountability frameworks to ensure goals are met on time and within budget.
  • Conduct research, compile data, and prepare executive briefings and reports to inform planning, decision-making, and strategic implementation.
  • Identify project risks, develop mitigation plans, and ensure compliance with institutional priorities and timelines.
  • Support the planning, coordination, and implementation of workshops, retreats, and cross-departmental meetings associated with special projects.
  • Oversee bookstore operations and coordinate with approved campus vendors responsible for selling college merchandise, 
  • ensuring compliance with institutional policies, branding standards, and contractual agreements.
  • Manage vendor relationships to maintain quality, consistency, and alignment with the college’s mission and image, while optimizing revenue opportunities through strategic merchandising and vendor partnerships.

Stakeholder Collaboration and Communication

  • Serve as a liaison between the Associate Vice President of Special Projects and key internal and external stakeholders to facilitate effective communication and foster alignment across divisions.
  • Promote cross-functional collaboration among diverse areas, including Academic Affairs, Student Affairs, Finance, Facilities, Enrollment, and Institutional Advancement.
  • Support and, when appropriate, represent the AVP at internal and external meetings, committees, and community engagement events.
  • Prepare and deliver clear, concise communications to ensure stakeholders remain informed of project progress, outcomes, and institutional impact.

Data Analysis, Reporting, and Compliance

  • Gather, interpret, and analyze both qualitative and quantitative data to support institutional effectiveness and strategic decision-making.
  • Develop dashboards, progress reports, and presentations for senior leadership, the Board of Trustees, and other governing entities.
  • Ensure compliance and accountability for all projects in alignment with College policies, state and federal regulations, and accreditation requirements.
  • Provide operational support for institutional risk management, emergency preparedness, and business continuity initiatives.

General Support

  • Assist the Associate Vice President of Special Projects with the coordination of campus-wide initiatives that advance the College’s strategic plan.
  • Contribute to the development of systems, processes, and policies that improve efficiency and strengthen project governance.
  • Perform other duties as assigned in support of the AVP, Chief of Staff, and institutional priorities.
  • Additional Duties as assigned.

  • Demonstrated ability to work collaboratively in a fast-paced, dynamic environment.
  • High level of discretion and professionalism in managing sensitive and confidential information.
  • Proficiency in project management and collaboration tools (Microsoft 365 Suite, Teams, SharePoint, and other relevant software).

Education/ Experience

 

What you will need to be successful!

  • Master’s degree in Business Administration, Public Administration, Higher Education Leadership, or a related field required.
  • Doctorate (Ed.D. or Ph.D.) preferred.
  • Minimum of 5–10 years of progressive administrative or managerial experience, preferably at the Associate or Assistant Vice President level, leading cross-functional teams and strategic initiatives.
  • Experience in higher education or nonprofit administration required; familiarity with HBCU culture, mission, and community engagement strongly preferred.
  • Demonstrated experience managing budgets, vendors, and institutional projects from conception through implementation.
