About the Department


Jefferson Parish Human Services Authority (JPHSA) is a Local Governing Entity (LGE) created by the Louisiana Legislature in 1989. JPHSA is responsible for managing and operating Behavioral Health and Developmental Disability Services in Jefferson Parish. JPHSA provides fully integrated Primary and Behavioral Healthcare services through JeffCare, its Federally Qualified Health Center (FQHC).

Under the supervision of the Site Manager, the Administrative Program Manager 1 (Front Desk Support Supervisor) will be responsible for the smooth and efficient front desk support staff operations and performs administrative duties at the Health Center. This position supports the front and back office functions of each Health Center and provides a high level of customer service to individuals served and staff members. The incumbent will also serve as backup to the Screening/Intake staff. The supervisor works closely with all departments to coordinate provider schedules and facilitate patient appointments.

Position Duties

Three years of experience in administrative services; OR

Six years of full-time work experience in any field; OR

A bachelor's degree.

EXPERIENCE SUBSTITUTION:
Every 30 semester hours earned from an accredited college or university will be credited as one year of experience towards the six years of full-time work experience in any field. The maximum substitution allowed is 120 semester hours which substitutes for a maximum of four years of experience in any field.

Job Duties:
As an Administrative Program Manager 1, you will, 
  • Oversees, under the direction of the Site Manager, the entire front office processes, including end-of-day closing, no-show reports, pending encounters reports, productivity reports, patient satisfaction reports, scheduling reports, etc.
  • Manages all Front Desk Support staff and administrative duties, ensuring patients and guests are taken care of in a professional and friendly manner
  • Audits and maintains compliance with all administrative duties including but not limited to scanning, demographic entry, National Voter Registration Act (NVRA) compliance
  • Oversees the performance of administrative and clerical duties in support of clinical services, which include patient reception, answering incoming telephone calls, appointment scheduling, registration, insurance verification, and maintenance per health system procedures and guidelines
  • Assists Site Manager with day-to-day operation of clinic(s)
  • Supervises, leads, directs, and evaluates Front Desk Support staff
  • Provides feedback to the Site Manager regarding Front Desk Support staff
  • Coaches Front Desk Support staff and administrative support staff on best practices for responding to individual served and family questions, concerns, and issues
  • Trains and orients new employees and/or volunteers to the department
  • Trains new employees and works with the Site Manager to ensure compliance for all new front desk staff

Appointment Type:   Probational, Promotional, or Job Appointment

Career Progression:  This position does not participate in a Career Progression Group.

Work Schedule: Work hours are 8:00 AM to 4:30 PM, Monday - Friday.

Compensation: The salary offered will be determined based on qualifications and experience.
