SUMMARY

The Export Merchandising and Documentation Manager is responsible for providing quality customer service, export documentation and purchase and sales facilitation as well as required administrative duties for the IP department.

ESSENTIAL DUTIES AND RESPONSIBILITIES 

(Includes the following and other duties may be assigned.)

Responsible for: 

  • Providing excellent customer service by building customer relations; managing difficult or emotional situations; responding promptly to customer needs, resolving questions, complaints and concerns immediately and meeting commitments.
  • Assists customers on the phone, online and in person by:
    • Tracking documentation needs and updated customer shipping schedules and communicating to the proper parties
    • Settling shipments and providing proper documentation for import clearance
  • Following company procedures and policies including Federal Warehouse guidelines when purchasing and selling grain.
  • Performing daily grain audit/updates and organizing grain tickets and check stubs, contracts, and sales settlements. 
  • Clear and put year end files into permanent storage. 
  • Hedging grain purchases and sales as needed.
  • Administration and oversight of accurate recordkeeping and support including:
    • Settling sales settlements and applying payments 
    • Settling freight invoices
    • Settling purchase settlements 
    • Maintaining producer pricing offers in Stone X
    • Performing month end procedures 
    • Creating monthly production and freight reports as needed

SUPERVISORY RESPONSIBILITIES 

This position supervises the IP Division's QA Specialist and Office Assistant and carries out supervisory responsibilities in accordance with the cooperative’s policies and applicable laws.  Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance, rewarding, and disciplining employees; addressing complaints and resolving problems.

EDUCATION and/or EXPERIENCE 

Must have a high school diploma.  Must have a minimum of one year of office work experience.   Should be proficient in Microsoft Word and Excel, possess computer technology skills and operate a 10-key calculator.  

LANGUAGE SKILLS 

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.  Ability to write routine reports and correspondence.   Ability to speak effectively with customers or employees of the cooperative.  

MATHEMATICAL SKILLS 

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.  Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, volume, weights and basic algebra.

CERTIFICATES, LICENSES, AND REGISTRATIONS

This position does not require certificates, licenses and/or registration.

The ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.  Able to deal with problems with several concrete variables in standard situations.  The ability to look at the whole picture and make decisions based on projections, margins, and goals; and to deal with and solve problems involving logistics.  Must be able to think quickly and perform a mental assessment of workplace hazards, take appropriate precautions, and choose appropriate PPE as dictated by need, regulation and labeling.
