General Definition of Work
The Data Manager II, under general supervision, performs clerical work with minimal decision-making discretion related to preparing and maintaining student attendance data and demographic statistics in an assigned school using a variety of computer databases and systems. This includes keying and auditing data to ensure accuracy of all student data required by the state and federal Department of Education (DOE) and the district. Employee performs school-based work to carry out Board of Education policies under the direction of the Principal.

Place of Work
The normal place of work is on the premises used by Charlotte-Mecklenburg Schools. Charlotte- Mecklenburg Schools reserves the right to require you to work at such other place(s) as it may reasonably require from time to time.
Essential Functions
- Adhere to all state, federal, and local laws, policies, and procedures
- Collect all data required to maintain systems supporting transcripts, grade reporting, rank-in-class, student scheduling, school master schedule, instructors file, special needs, LPAC/Bilingual, immunization, social security/state ID numbers, city and state and country of birth, language surveys, college entry codes, dropout recovery, and student demographic data
- Verify the accuracy of all processed data, recognize discrepancies, and take corrective action in support of district and court reporting requirements
- Complete all input documents and maintain/update student database via electronic data transmission, including the school instructor file, student demographic and enrollment data, and grade reporting
- Enter course master of all courses offered on campus and input into the database
- Request, pick up, and distribute all student database products to appropriate school offices and/or personnel
- Communicate and works with other offices within the building, school district, and other school districts
- Plan and schedule tasks, taking into consideration school priorities and the departmental calendar
- Implement and maintain a recordkeeping system for documentation of all staff members, security roles in current student information system, and staff emails and photos
- Oversee proper reporting and recordkeeping related to student attendance and enrollment, including transfers, withdrawals, statistical reports, and census cards
- Ensure the maintenance of adequate and accurate student records regarding end of year procedures for students and staff
- Collect and perform data entry tasks for all student data required by the state and federal Department of Education (DOE) and the district
- Establish, collect, organize, and maintain data pertaining to assigned clerical tasks and composes departmental reports
- Assist with the resolution of minor routine administrative and operational situations
- Perform related work as assigned or required
Knowledge, Skills, Abilities
- Knowledge of and ability to execute advanced principles of office administration and systems, office technology, and workflow
- Knowledge of and ability to execute advanced office procedures, including filing systems, recordkeeping systems, business correspondence, and reporting formats
- Knowledge of computer operating techniques related to administrative and financial recordkeeping, databases, text processing, reporting, and presentations
- Skilled in all Microsoft 365 products as well as ERP (Lawson or similar system), and applicable HR information systems
- Skilled in problem solving, critical thinking, and time management
- Ability to read and interpret documents including safety rules, operations instructions, and procedure manuals
- Ability to advance several simultaneous assignments, with close attention to schedules and deadlines
- Ability to work independently, with little direction exercising good judgment
- Ability to maintain confidentiality when working with privileged/sensitive records, materials, and information
- Ability to perform basic mathematics functions and maintain accurate data records
- Ability to communicate effectively with a variety of audiences, verbally and in writing, including electronic media
- Ability to organize, prioritize, manage and carry out duties efficiently and within established timeframes
- Ability to establish and maintain collaborative working relationships with all stakeholders
Education and Experience
- High School diploma required
- Two (2) years of clerical experience with high competency in office software required
- Prior work experience in a school district or comparable governmental/public sector positions preferred
- Equivalent combination of education and experience
