Description

General Description:  The Manager of Donor Relations oversees donor stewardship and supports operational processes for all contributions to the San Antonio Food Bank. This role manages the daily processing of online transactions, donor acknowledgments, and personalized communications that foster loyalty and trust in the San Antonio Food Bank’s mission.

 

In addition to processing online donations and ensuring timely acknowledgments and tax receipts, the Manager oversees a portfolio of donors giving $500–$999 annually, implementing cultivation and retention strategies to strengthen engagement and inspire increased support. The role also supports core philanthropy operations, including managing the donor phone line, processing phone and mailed gifts, batching checks, assisting with events, and providing front desk coverage as needed.

 

Essential Functions:

  • Process daily online gifts across multiple platforms with accurate coding, batching, and reconciliation in Salesforce.
  • Generate and mail acknowledgment and tax receipt letters within established timelines using approved templates.
  • Manage weekly handwritten thank-you letter lists for leadership and the Philanthropy Team.
  • Serve as primary contact for donor phone gifts and general donor inquiries, ensuring timely, high-quality service.
  • Oversee a portfolio of donors giving $500–$999 annually, focusing on cultivation, retention, and upgrade opportunities.
  • Conduct personalized outreach through calls, notes, and stewardship touchpoints to strengthen donor relationships.
  • Identify and refer potential upgrades to the $1,000+ donor pipeline in collaboration with the Director of Philanthropy Operations.
  • Coordinate donor recognition programs, including holiday cards and special mailings.
  • Participate in donor tours, events, and engagement activities to enhance the donor experience.
  • Support data integrity through gift processing audits, cleanup initiatives, and accurate reporting in Salesforce.

Qualifications


Qualifications:

  • College degree in relevant field. Will also accept 5 years of relevant working experience in lieu of degree, or combination of school and work experience.
  • Minimum of 3-5 years fundraising experience. Prior experience with individual giving preferred.
  • Working knowledge of donor database management systems such as Salesforce or Funraise.
  • Knowledge of and experience managing a broad portfolio of contacts preferred.
  • Outstanding written, oral and interpersonal skills; experience working with discretion and diplomacy in dealing with the philanthropic sector.
  • Highly organized with exceptional attention to detail.
  • Ability to work independently with minimum supervision and adhere to deadlines.
  • Work cooperatively with other Food Bank staff and volunteers, supervise others, and delegate appropriate tasks.
  • Capacity to present a professional demeanor under a variety of conditions.
  • Occasional evening and weekend work required to support events and donor activities.
  • Personal vehicle is required with valid license and insurance.

 

Schedule

This exempt position is salaried. The typical work schedule is Monday to Friday, 8:00am-5:00pm; however, occasional support may be needed at weekend events, as well as before or after standard office hours throughout the year, with increased frequency during the holiday season.

Work Environment

This job is performed in an indoor office environment and occasionally may require attendance at outdoor events. You may be required to drive to different locations with varying conditions. The noise level in the work environment is usually moderate.
