About the role

As a Training Assistant for Casa Esperanza, you will assist in implementing training programs designed for clinical and direct support staff. Strong attention to detail, organizational skills, and computer literacy are required for this position. Most tasks are clerical in nature, with some opportunities for creativity. This position is hybrid and requires reliable access to an internet connection and transportation to Boston, Malden, and Tewksbury.


What you'll do

  • In collaboration with the Director, help develop and implement curriculum content, training materials, and teaching aids aligned with relevant Treatment Improvement Protocols. Duties include scheduling training, maintaining staff rosters, coordinating with supervisors to manage training attendance, creating & updating training invitations in Outlook/Zoom and flyers, sending reminders, scheduling training with vendors, and other related tasks.
  • Collaborate with the Director of Training to develop and lead training sessions for staff members across all programs and departments. Duties include aligning presentations to policies and procedures, assisting in creating engaging presentations, editing presentation formats, and researching/reading compliance documents.
  • Assist the training director with logistics for in-person and online training. Logistics include assisting with Zoom during online trainings, setting up A/V equipment, and editing video to upload to the Learning Management System (Relias), among other tasks.
  • LMS maintenance: setting up modules and enrolling participants, fixing errors in modules, maintaining records of attendance for internal & external training courses, uploading and reviewing certificates, providing limited technical assistance such as resetting passwords, helping staff with limited computer literacy learn to navigate the system, deactivating accounts, creating reports, etc. (training will be provided).
  • Track attendance of live trainings
  • Provide technical assistance during live trainings (Zoom)
  • Order, print, and staple training materials (in person at Malden or Roxbury office)
  • Acts as a point of contact and assists with administrative duties when the director is unavailable
  • Assist in creating a yearly schedule to comply with grant, license, and certification requirements.
  • Help create and maintain the department policies and procedures document.
  • Help develop and maintain robust quality assurance review processes for all training programs.
  • Track outside trainings held for specific departments/grants (attendance, certificates)
  • And any other duties as required to carry out department responsibilities

Qualifications


Knowledge and Skills necessary for the position:

  • Strong computer literacy and ability to learn new software
  • Strong written communication and organizational skills
  • Proficiency in MS Office (Word, Excel, PowerPoint)
  • Proficiency in Outlook, especially managing calendars
  • Familiarity with Zoom and Microsoft Teams
  • Access to a reliable internet connection
  • Ability to work independently and as part of a team
  • Interest in Learning & Development, Human Services, Public/Behavioral Health, or related fields 

Experience required/preferred for the position:

  • No prior experience is required, but applicants will be asked to complete tasks during the interview process to demonstrate their skills.
  • Experience with the Relias Learning platform is preferred but not required.
  • Experience working in nonprofit/office settings is preferred but not required.
  • Personal or professional experience with substance use disorders is preferred but not required.

Education/Training required:

  • HS Diploma or GED Required
  • Associate degree or above preferred

Competencies:

  • Ability to align training content with Treatment Improvement Protocols, policies, and compliance requirements.
  • Skills in editing presentations, handouts, and engaging learning materials.
  • Strong organizational skills to manage multiple trainings, deadlines, and logistics simultaneously.
  • Ability to prioritize tasks and maintain attention to detail (scheduling, rosters, attendance tracking).
  • Clear and professional written and verbal communication.
  • Ability to coordinate with supervisors, vendors, and staff across programs.
  • Strong customer-service orientation, especially when supporting staff with limited technical literacy or busy schedules.
  • Understanding the importance of policies, procedures, and regulatory requirements in behavioral health and training contexts.
  • Ability to monitor, track, and report on training completion, attendance, and certifications.
  • Ability to monitor, track, and report accurate records/documents and track quality assurance processes.
  • Ability to troubleshoot technical and logistical challenges during live or online training.
  • Flexibility to adapt to evolving training needs, grant requirements, and organizational changes.
  • Competence in ordering, preparing, and distributing training materials.

Schedule/Type/Environment


Work Type: Hybrid, Part-Time


Work Schedule: Negotiable except for Wed and Fri 9:45 am-12:15 pm (2.5 hours) and Mondays 1:00 pm-2:30 pm (1.5 hours)


Supervisory Responsibilities: None


Working Conditions/Environment:

Physical Space: This position is hybrid, with about 50% in-person presence. The person in this position needs a quiet space to attend presentations and meetings when not in the office. Attendance at in-person training and retreats is required.


Team Dynamics: The Training Department at Casa Esperanza is fairly new. The person in this position should be comfortable with some level of ambiguity, as the processes for some operations are being developed. The department consists of one full-time director and one part-time clinical coach/trainer. The members of this department work in close coordination and may meet and/or communicate constantly throughout the working day.


Working Conditions: Working hours require availability on Wednesdays and Fridays from 9:45 am to 12:15 pm (2.5 hours) and on Mondays from 1:00 pm to 2:30 pm (1.5 hours). A weekly schedule can be created in coordination with the department director for the remaining 16 hours. The person hired for this role must be available at the agreed working schedules and be responsive to online and phone communication. Some travel to Boston and Tewksbury may be required. The organization will provide a computer for work.

While performing the duties of this job, the employee is regularly required to walk, stoop, kneel, crouch, or crawl and talk or hear. The employee must occasionally lift and/or move up to 20 pounds. Specific vision abilities required by this job include distance vision, peripheral vision, and depth perception.
