About Us: A division within the Department of Emergency Medicine, the Center for Disaster Medicine (CDM) (https://www.massgeneral.org/disaster-medicine) houses numerous grant-funded programs that focus on Disaster Medicine, Healthcare Preparedness and Emergency Management, and High Consequence Infectious Diseases (HCID). The CDM team is comprised of interdisciplinary subject matter experts, including national and international experts in their fields, leading the development of preparedness programs and resources to meet current and future healthcare challenges. We foster a culture of inclusion and support, where team members are empowered to contribute authentically and collaborate as a unified, high-performing group.

About You: You are an experienced project coordinator with a strong interest in emergency preparedness and/or HCIDs. You possess strong organizational skills, some project management skills, and a desire to be part of a high-functioning and fast-paced team that is a national leader in healthcare preparedness. You have strong communication and interpersonal skills. You’re a quick study and willing to join a team growing through change.

About the Work: Under the direction of the Assistant Director, Biothreats, the Program Coordinator will support all programmatic aspects of the RESPTC. This includes the development of training calendars, logistics for training activities, meeting coordination, internal newsletter, Biothreats Response Team administrative activities, managing the administrative aspects of RESPTC projects. This position is grant-funded and is contingent on continued availability of these funds.


 

Qualifications

Principal Duties and Responsibilities

Program Coordination Responsibilities

  • Develop and maintain a file system and organizational structure for program work
  • Support program meetings from preparation through follow-up
  • Collaborate with other members of the program team to maintain program and project plans
  • Collaborate with other members of the program team to ensure the successful development and delivery of materials to support RESPTC engagement, such as team newsletters
  • Create polished materials ready for professional presentation
  • Contribute to the development and revision of program policies, procedures, and toolkits
  • Attends all relevant meetings; contributes ideas, and follows up on action items
  • Escalates identified delays and/or challenges to RESPTC leadership
  • Contributes to program reports, as assigned
  • With support, assumes responsibility for the administrative management of the Learning Management System (LMS)
  • Assumes responsibility for all assigned projects simultaneously

Response Operations 

  • Supports external after-action follow-up and process improvement post-response for any activations of the RESPTC and/or Special Pathogens Program. 
  • Supports the procurement and management of supplies and equipment to support special pathogen program training and response operations.

Logistics

  • Collaborates with RESPTC leadership to ensure that necessary supplies and technology are available to support activation, training and exercises.
  • Supports the maintenance of training supplies and associated gear, including activation gear, for the RESPTC

  • Completion of ICS/NIMS 100, 200, before or upon hire.
  • Experience with Microsoft Office applications including Word, Powerpoint, Teams, and Excel
  • Ability and interest in learning new software applications, such as a Learning Management System

Working Conditions 

  • This position will be hybrid in nature and the incumbent will work with their supervisor to establish a final schedule; however, candidates should anticipate being on campus 3 days per week.  
  • May be required to travel to offsite facilities and to attend meetings outside of regularly scheduled hours, as needed.  
  • May be required to report to the hospital or offsite locations outside of normal business hours to respond to events that require emergency support. 
  • May be required to work extended shifts for multiple periods during emergency events.
