The role:
The Import and Export Specialist will ensure the effective and streamlined flow of product logistics. Coordinating closely with several departments and stakeholders in the business to plan, coordinate and administer shipments of inbound and outbound product across borders, and ensuring compliance with all applicable regulations and customs procedures.
Dealing with all the complexities of import and European export shipping and working closely with European customs, couriers and freight forwarders you will solve problems and deal with any issues that may arise.
Key responsibilities:
- Import and Export Coordination
- Coordinate with product management, purchasing, compliance, warehouse and finance teams to ensure smooth operational flow
- Coordinate and negotiate efficient freight methods, transport rates and ETAs, and monitoring delivery performance
- Daily management of all incoming shipments and purchase orders
- Ensure timely and compliant customs clearance of inbound containers from suppliers into the UK, ensuring accurate important sipping documentation and customs procedures
- Container and pallet management in co-ordination with multiple suppliers, Purchasing and Product Managers to ensure the most efficient import methodologies and costs
- Confirm and negotiate delivery costs, process and verify invoices from logistics service providers
- Complex export shipments to European subsidiaries and clients from the UK as Importer of Record, assigning commodity codes and ensuring compliance to relevant legislation
- Working with couriers and freight forwarders on exporting shipments efficiently, including calculation of European duties
- Liaise with Compliance department to prioritise testing schedules to meet shipping deadlines
- Support with stock control, reconciliations, and import planning
- Advise and report on any anomalies, issues, and related issues
- Create, amend and review part numbers on our product data system, in collaboration with Product Managers
- Provide high-level resolution for any outstanding process maintenance and data creation queries related to stock inventory
- Calculating landed costs on individual parts, and communicating with Product Management and Logistics teams to ensure correct pricing
- Contribute to maintenance of the supplier master list
- Working closely with Warehouse on Goods-in for apportioning freight costs across multiple suppliers and orders, for processing into the system
- Handle shortages and inconsistencies on deliveries
- Freight invoicing
- Maintain and review freight invoicing records, reflecting air and sea freight
- Manage customs clearing documentation, creating customs invoices where required
- Managing customs duty and VAT as required, completing HMRC documentation related to customs and freight transactions
- Follow up, expedite and update data in collaboration with Product Managers and Logistics
Required skills:
- Proven experience in a shipping or customs administration role, ideally supported by a relevant educational qualification on a financial or accounting discipline
- Strong understanding of import/export documentation, Incoterms and shipping principles and practices, knowledge of recycling taxes and commodity codes
- Experience of managing multiple containers and complex supplier relationships in an import and export context
- Proficiency in ERP software (experience with Epicor/ SAP/ Sage, etc), with strong Excel skills
- Excellent attention to detail and organizational skills
- Highly developed communication skills, with the ability to liaise effectively with suppliers and internal teams
- Good negotiating skills
- Ability to work well under pressure and meet deadlines.
