Job Title: Clerk – Records HS Wage/Hour Status: Nonexempt

PRIMARY PURPOSE:
Responsible for maintaining student academic records at the campus level. Process student enrollment, transfers, and withdrawals for the campus.
QUALIFICATIONS:
Education/Certification
High school diploma or GED
Special Knowledge/Skills:
Proficient skills in keyboarding, word processing, and file maintenance
Effective organization, communication and interpersonal skills
Ability to use personal computer and software to develop spreadsheets and databases
Ability to meet established deadlines
Ability to follow written instructions
Ability to operate multi-line phone system
Ability to maintain accurate and auditable records
Preferred Experience:
Two years of successful secretarial or clerical experience preferably in a related field
MAJOR RESPONSIBILITIES AND DUTIES
Records and Reports
- Maintain student academic records and process request for information and transcript.
- Fulfill student records requests and transcript request in a timely manner.
- Process new student records, including requesting transcripts from other districts.
- Upload and maintain all cumulative files making sure each file has all required documents in electronic repository.
- Compile, prepare, and submit various reports for the Student Information/PEIMS department as needed.
- Responsible for the input of Student Information/PEIMS data as directed.
- Maintain an appointment calendar for enrollment and withdraw sessions with parents.
Phones and Correspondence - Receive incoming calls, take reliable messages, and route to appropriate staff.
Other - Maintain office files both physical and virtual.
- Maintain confidentiality of all information.
- Provide excellent customer service to all students, staff, parents, and community members
- Participate in staff development training programs when appropriate
- Keep informed and comply with all state and district policies and regulations concerning student records.
Tools/Equipment Used: Multi-line phone system; standard office equipment including personal computer and peripherals
Posture: Prolonged sitting; occasional bending/stooping, pushing/pulling, kneeling and twisting
Motion: Repetitive hand motions; frequent keyboarding and use of mouse; occasional reaching
Lifting: Occasional light lifting and carrying (less than 15 pounds), occasional heavy lifting, over 45 pounds
Environment: May work prolonged or irregular hours
Mental Demands: Work with frequent interruptions; maintain emotional control under stress; Subject to frequent deadlines
