Summary of Position
The Administrative Assistant provides direct support to the Lead Pastor’s Executive Admin across all areas of the Lead Pastor’s ministry. Key responsibilities include managing schedules and tasks, overseeing email communication, coordinating weekly preaching preparation, and arranging travel logistics. This role works closely with the Executive Admin and the Lead Pastor’s wife to ensure alignment between ministry and family schedules, supporting her engagement in ministry events. The position may also include occasional assistance such as driving and personal support to the Lead Pastor’s family.


Duties and Responsibilities 

1.  Lead Pastor Support

·  Assist the Executive Admin in day-to-day scheduling, task management, and preparation for meetings.

·  Assist the Executive Admin to ensure the Lead Pastor is fully resourced and informed with key information, notes, and context to attend meetings and complete deliverables on time.

·  Maximize the Lead Pastor’s schedule for productivity and prioritize his time strategically.

·  Collaborate with the Executive Admin in managing internal and external email inboxes which will include sending weekly first-time guest emails from the Lead Pastor.

·  Coordinate with the Lead Pastor’s wife to maintain balance and alignment between home and ministry schedules.

·  Manage all travel bookings and related logistics for the Lead Pastor.


2.  Weekly Gathering Assistance

·  Assist in planning the yearly preaching calendar and sermon series brainstorming.

·  Prepare and maintain the Green Room each week, including organizing the space, providing food and beverages, brewing coffee, and ensuring cleanliness and readiness for use. 

·  Assist the Lead Pastor in sermon preparation by gathering illustration and materials, researching additional examples, and obtaining any necessary props or resources.

·  Plan and host weekly sermon planning meetings and assist with on-the-spot research and sermon preparation.


3.  Radio Program Management

·  Serve as the liaison between the Lead Pastor and the Truth Network for the Lead Pastor’s radio program.

·  Document time stamps and prepare/send sermon audio files as needed.


4.  Event Planning

·  Support small event planning tasks, including pre-event organization, logistics coordination, communication, and vendor management (e.g., caterers, venues, etc.).


5.  Miscellaneous Responsibilities

·  Host a table or serve at The Weekender.

·  Assist in various ways with large-scale events like Kids Week, Fall Launch, etc

Physical Requirements: 

Essential job function: Duties [1] through [4] are designated as ADA essential functions and must be performed in this job. All other job duties are secondary functions.

1.  Ability to continuously stand, sit, and/or walk.

2.  Ability to bend, climb stairs, and/or lift occasionally.

3.  Ability to lift 5 to 30 pounds occasionally.

5.  Ability to communicate continuously with other people.

6.  Ability to operate computers continuously in order to complete necessary office work.  

7.  Ability to frequently comprehend physical and/or digital documents and frequently prepare physical and/or digital documents. 


Work Environment

1.  May occasionally work in temperatures above 95 degrees and below 32 degrees.

2.  May occasionally walk on slippery or uneven surfaces.

3.  Noise level in the environment is frequently loud.

4.  May occasionally work outdoors.

5.  May continuously work indoors within closed office spaces.
