- Process maintenance and repair requests for company-owned, UPS-owned trailers, and non-company-owned trailers.
- Monitor open work orders to ensure timely completion of repairs and preventive maintenance.
- Verify that all maintenance activities comply with DOT, company, and customer standards.
- Review, code, and submit vendor invoices for approval; identify and address discrepancies or overcharges.
- Maintain accurate and detailed maintenance records in the company’s fleet management system.
- Manage ongoing communications with Premier’s National Account Operations and branch teams.
- Communicate with vendors to schedule, authorize, and follow up on repairs or inspections.
- Ensure vendors provide proper documentation, estimates, and completion reports.
- Serve as a support contact for UPS and other customers regarding trailer maintenance status, repair authorizations, and updates.
- Escalate complex or delayed issues to the Supervisor – Customer Maintenance for resolution.
- Track preventative maintenance compliance and proactively identify trailers due for maintenance or inspection.
- Support the Supervisor in monitoring maintenance trends, cost controls, and vendor performance metrics.
- Assist in identifying coverage gaps, vendor inefficiencies, or recurring maintenance issues.
- Generate and update maintenance reports for internal and customer review.
- Support and work on special projects with the RoadCARE team.
- Ensure all trailer maintenance activities meet DOT, FHWA, and other regulatory requirements.
- Maintain accurate records of work orders, invoices, and compliance documentation.
- Support internal audits by providing accurate data and documentation as needed.
- Strong attention to detail and accuracy in data entry and documentation.
- Excellent communication and customer service skills (both written and verbal).
- Strong organizational and multitasking abilities in a fast-paced environment.
- Analytical thinking with the ability to identify maintenance trends and cost-saving opportunities.
- Team-oriented with a proactive approach to problem-solving and service delivery.
- Associate degree in Business, Logistics, or a related field preferred.
- 2–4 years of experience in fleet maintenance coordination, dispatch, vendor management, or transportation operations.
- Knowledge of trailer maintenance processes, parts, and terminology preferred.
- Experience with fleet management or maintenance tracking systems a plus.
- Proficiency with maintenance management systems, vendor portals, and Microsoft Office Suites - Word, Excel, PowerPoint, and Outlook.
