South Bay Workforce Investment Board, Inc. (SBWIB, Inc.) is seeking a dynamic Special Projects Analyst (SPA) – Data Entry Associate to join the company’s Special Projects Administrative Unit and assist with data collection and entry. In this role, you'll be responsible for performing a variety of clerical data research, compiling data, digitalizing information into our electronic storage system, and analyzing current information for changes or updating as needed. To succeed in this role, candidate must have impeccable organizational, data entry and typing skills; must have an eye for detail, completeness and accuracy; has excellent knowledge of data management, works well in fast paced environments, and is able to meet other qualifications as listed throughout this announcement.


Essential Duties and Responsibilities:

Under general supervision of the Special Projects Development Manager, the duties of the Special Projects Development Analyst – Data Entry Associate will include, but are not limited to, the following:

  •  Insert data by inputting text based and numerical information from source documents into applicable systems;
  •  Compile, verify accuracy and sort information according to priorities to prepare source data for computer entry;
  •  Cross Reference and review data for deficiencies or errors and correct any incompatibilities;
  •  Verify outdated data and make any necessary changes to records;
  •  Research and gather information for incomplete documents or projects;
  •  Coordinate with subcontractors and partner agencies to collect required or missing documents and data;
  •  Undertake research and analysis of new projects with data entry initiatives as needed;
  •  Analyze and review data and/or project statuses to ensure tasks are on track to reach desired goals;
  •  Research, track and collect data necessary to compile and create reports, press releases, and/or newsletters, and submit reports to upper management on the progress of all projects;
  • Organize existing data in spreadsheets or assigned databases; generate task completion reports, store completed work in designated locations;
  •  Perform regular database backups to secure data while complying with data integrity and security policies;
  •  Maintain an organized virtual and physical filing system;
  • Assist with planning events, conferences and meetings and/or participate in regular meetings with team members, Boards, affiliates and/or committees to review reports and provide updates as necessary;
  •  Respond to queries for information and access relevant files;
  •  Provide support for Special Projects, including pre-apprenticeship and apprenticeship programs;
  • Other Special Projects as needed;

Requirements

  • Graduation from an accredited college or university with an Associates degree or higher**
  • At least one (1) year of demonstrated experience in a similar capacity**
  • Prior experience in data entry, records management, or administrative support
  • Proficiency in Microsoft Office Suite, data programs and office equipment (e.g., copiers, scanner, etc.)
  • Excellent attention to detail and strong organizational skills
  • Excellent written and verbal communication skills
  • Able to work independently with minimal supervision, with an ability to stay focused on assigned tasks
  • Confidentiality

Role Expectation

Effective performance in this role requires a dependable presence and active engagement in daily data management and administrative operations. Regular on-site participation is essential to ensure the integrity, accuracy, and confidentiality of organizational data, maintain continuity in project documentation, and support collaboration among internal staff and partner agencies. These responsibilities are considered essential functions of the position and require the ability to meet deadlines, manage workload priorities, and maintain focus and precision in a detailed, organized, and potentially fast-paced environment. The essential functions cannot be modified or removed without materially altering the nature of the role. Working Conditions

  • Employee may be required to spend the majority of the day walking, standing, sitting at a desk, with some lifting and bending. They must be able to lift up to 20 pounds, climb stairs at sites, and conduct physical walk-throughs as part of site assessments.
  • Employee must be able to travel daily to various worksites for site visits and monitoring. May also need to travel to other locations for trainings, conferences and/or meetings within or outside our local area and occasionally statewide in which such travel may last one (1) or more days - if/as necessary.

Pay & Benefits

This is a full-time, nonexempt position (40 hours/week), generally with a starting pay range of $24.72 - $26.99 per hour, commensurate with experience. SBWIB, Inc. offers a comprehensive employee benefits package, which includes:
