Reports to the Community Association Manager. Office Manager ensures the administrative aspects of the business are running smoothly and organized. They perform administrative tasks as noted below and assist with the development and implementation of events within the community. Attending Association events outside normal business is required.
Major Tasks, Responsibilities, and Key Accountabilities
• Publish monthly newsletter and correspond with advertisers.
• Maintain and update Community Website/Portal.
• Oversee master calendar for monthly events, including clubhouse rentals and reservations.
• Meet and greet new residents to distribute access cards or keys for amenities when manager is not available.
• Maintain master list of residents’ addresses, phone numbers, and email addresses.
• May attend monthly Social/Activities Meetings with Committee members.
• Function as a point of contact for new and existing residents regarding local events.
• Facilitate with manager to coordinate and attend social activities for the community.
• Locate and secure outside vendors to supply products needed for events.
• Manage and maintain activities budget as determined by the Board of Directors.
• Maintain detailed files and records on all activities planned and executed throughout the year – including financial details, outcome of the event, number of participants, and ways to improve the event in the future.
• Brainstorm and create new activities for Community.
• Promote and secure sponsorships to offset the cost of the events.
• Field resident complaints and suggestions to help improve the Community.
• Assist the Property Manager with routine tasks and fill in as needed in his/her absence.
• Submission of ARC requests to the committee and relay the decision to the homeowner.
• Monitor the clubhouse reservation systems, update fobs for rentals, provide residents with necessary rental information.
Additional Tasks
• Perform regular site visits to maintain knowledge of property.
• Arrange for prompt response to emergency service requests.
• Will also serve as receptionist/administrative assistant role to manage incoming telephone calls, reports, correspondence and to maintain records of the association.
• Partner with manager to implement approved decisions for activities of the association, i.e., tennis, pool, finance, landscape, social, covenants and ACC.

• Must have a positive and professional appearance, attitude, and demeanor.
• Position demands creative thinking, consistent accuracy, and a sense of urgency.
Position Qualifications
• Must be eighteen years of age or older.
• Must pass the Drug Test.
• Must pass the Background Check.
• College Education - Bachelor's Degree preferred.
• Strong Computer Skills - Proficiency in MS Word, MS Excel, MS Outlook.
• Strong interpersonal skills and organizational skills are also required
Salary: $55,000.00 - $60,000.00 annually DOE
Schedule: Monday - Friday, weekends and holidays may be required occasionally
