Coastal Maine Botanical Gardens is hiring a Webshop Coordinator!

This is a full-time, year-round, benefit eligible position.
$22.00 - 23.00 hourly, non-exempt
The mission of Coastal Maine Botanical Gardens is to inspire meaningful connections between people and nature and to promote plant conservation through horticulture, education, and plant science. Gardenshop supports this mission by extending our reach beyond the physical bounds of the campus and into the larger world, providing guests with a thoughtfully curated collection of ethically sourced and sustainably produced goods that, whenever possible, uplift our vibrant community of local makers, especially those most impacted by inequity. The Webshop, the online extension of Gardenshop, offers a unique Gardenshop experience that goes beyond retail. It not only provides an opportunity to grow a mission-aligned marketplace but also serves as a platform for storytelling—sharing the voices, craft, and creative journeys of our local makers with a wider community.
The Webshop Coordinator’s primary responsibility is managing all aspects of order fulfillment—picking, packing, and preparing shipments with care to ensure a smooth, timely delivery experience. They also support customer service for Gardenshop, serving as the first point of contact for phone and email inquiries, assisting with orders, and ensuring each guest receives prompt and thoughtful support. The Coordinator collaborates with the Webshop Manager and Buyer to research and document maker bios, gather detailed product information, and build accurate, engaging online listings that highlight our mission and the creativity of our local makers.
The Coordinator works a schedule of 40 hours per week. Additional time may be needed outside these hours during busy times, and especially during our Aglow event, which requires additional flexibility.
Primary Functions:
- Process and fulfill online orders, including picking, packing, and shipping, while utilizing sustainable packing materials when possible.
- Support customer service communications by responding to phone and email inquiries, assisting with orders, answering questions about products and makers, and escalating issues to the Webshop Manager as needed.
- Research Gardenshop’s makers and write engaging product descriptions that capture their stories and craftsmanship.
- Contribute to product photoshoots by setting up products, props, and settings, participating in off-campus photoshoots, and formatting images for the Webshop.
- Assist in the publication of online merchandise by organizing product information, uploading photos, and ensuring accurate descriptions.
- Work with the Webshop Manager to test and improve the Webshop's user interface, ensuring a smooth shopping experience for customers.
- Monitor and maintain inventory of packaging materials, restocking supplies as needed to ensure timely and sustainable order fulfillment.
- Support the Gardenshop inventory team as needed in all aspects of operations, including receiving, restocking, and maintaining backstock.
- Participate in Gardens-wide initiatives, including special events, which may occasionally take place outside of regular business hours.
Physical Requirements:
Despite having a strong administrative component requiring time at a desk, this can be an active job as some handling of merchandise is necessary when picking and packing orders and every team member helps on the salesfloor when needed-sometimes up to eight hours of standing, walking, kneeling, squatting, bending and reaching up. This job requires standard visual acuity and the ability to operate a PC with or without accommodation.

Requirements
- Three years of work history, life experience, and/or coursework managing an ecommerce product database or similar; photography and writing skills a bonus.
- The ability to learn new technology and a working knowledge of the MS Office Suite, particularly Word, Excel, and some basic photo editing software; some experience with POS systems helpful.
- An organized mindset, the ability to appreciate complexity, and patience for fine details are all good character traits for this work.
- Must like people, be adaptable, and have excellent communication skills; we work in a fast-paced environment, but this position is also good for someone who can work alone.
- Commitment to working across the organization to support the integration of Inclusion, Diversity, Equity, and Accessibility principles into the Gardens’ internal operations and its relationships with visitors and guests.
