Position Summary
The Accounts Payable Coordinator will be responsible for managing the accounts payable process, ensuring accurate and timely payments to vendors and suppliers. This position requires a keen eye for detail, strong analytical skills, and the ability to communicate effectively with both internal teams and external customers.
Key Responsibilities:
- Perform invoice data entry and processing for goods and services received.
- Manage 3-way match (Invoice, Purchase Order, Goods Receipt) and resolve discrepancies.
- Work with employees in purchasing, receiving, and other departments to support resolution of invoice or PO issues.
- Process vendor credits by applying credit memos or obtaining refunds as needed.
- Maintain vendor account accuracy, including contact information and payment terms.
- Support third-party and utility invoice processing, including uploading invoices, confirming account details, and ensuring timely payment.
- Assist in reconciling vendor statements, following up on outstanding items or mismatches.
- Track and process items related to the company's rebate program.
- Communicate with vendors to respond to inquiries and request documentation when needed.
- Maintain organized AP records and files in accordance with company and audit requirements.
- Additional responsibilities, tasks, and projects as assigned by the Accounts Payable Manager and the Sr. Director of Finance.
Skills and Competencies
- Hands-on experience with 3-way matching and high-volume invoice processing.
- Strong working knowledge of ERP systems.
- Proficient with Microsoft Excel and other Office applications.
- Understanding of procurement and inventory processes.
- Excellent problem-solving and communication skills.
- High attention to detail, accuracy, and organizational ability.
Education & Experience:
- Associate degree in Accounting, Business Administration, or related field (or equivalent work experience).
- 5+ year of experience in Accounts Payable or general accounting (manufacturing industry experience a plus).
