Job Responsibilities
Overview of Job Responsibilities
- Provide high-level and confidential administrative support to the Associate Provost and Dean. These duties involve, but are not limited to, calendar management, correspondence, and office management
- Play a significant role in the planning, logistics and implementation of annual signature events including the Graduate Showcase, Three Minute Thesis (3MT) Competition, the Doctoral Hooding and Commencement Celebrations
- Provide scheduling and logistical support for activities related to the Graduate Dean’s Advisory Council, Graduate Dean’s Faculty Council, Ph.D. Directors meetings, and Graduate Directors meetings
- Manage the department budget, endowed funds, hospitality and travel budgets including making office/department related purchases, procurement card transactions, travel expense reports, chargebacks, and reconciliations
- Handle Research and Creativity Reimbursement program applications and process reimbursements for students
- Serve as the primary point of contact for Graduate School inquiries, managing the department email, and meeting requests for Associate Provost and Dean, telephone calls and electronic/mail correspondence
- Collaborate with team to supervise student employees in day-to-day duties and special projects and submit new student employee hiring information with the Student Employment Office
- Serve as a primary point of contact for the RIT team of administrative assistant staff which supports all RIT Deans, Ph.D. Directors and other Graduate Program Directors
- Other major duties include coordinating meeting logistics, event and hospitality planning, communications support, scheduling and completing travel arrangements for the Associate Provost and Dean, assisting with compiling and managing documentation for internal and external reporting and supporting academic events and event budgets

Required Qualifications
- 5-10 years of related professional experience required, preferably providing executive-level support in higher education
- Associate’s degree or equivalent experience
- Strong written and communication skills
- Excellent time management and organizational and problem-solving skills
- Ability to prioritize and manage multiple, simultaneous tasks and projects
- Ability to work independently and accomplish tasks given only a broad definition and general direction
- Proficiency in Microsoft Office Suite software applications including Excel and PowerPoint
- Critical thinking skills, discretion, professionalism, good judgment, flexibility, enthusiasm
- Outstanding people and networking skills
- Accuracy and reliability are essential
- Ability to maintain confidentiality
