Position Details: 8.0 hours/day, 7:30 - 4:30pm; 260 days/year
Pay Range: $30.65-$34.44/hour

JOB PURPOSE
The job of Administrative Assistant - Teaching & Learning, is to provide clerical support to the Teaching & Learning Department; communicating information to staff, the public, and other district ensuring compliance with financial, legal, and administrative requirements; and providing information and/or direction as may be requested.
ESSENTIAL FUNCTIONS
Composes documents (e.g. correspondence, agendas, minutes, bulletins, reports, etc.) for the purpose of communicating information to school and ditrict personnel, the public, state officials, etc.
Evaluates situations (i.e. involving other staff, students, parents, the public, etc.) for the purpose of taking appropriate action and/or directing to appropriate personnel for resolution.
Monitors assigned activities and/or program components (e.g. education code, district requirements, program budgets and grants, critical timelines, ML student data/files, etc.) for the purpose of ensuring compliance with financial, legal, state, federal, and/or administrative requirements.
Maintains efficient and organized files, including adopted textbook library, staff development records, clock horus records, etc., for the purpose of easy retrieval of documentation and providing accurate information for payroll purposes.
Monitor and/or prepare monthly reports for Title and LAP programs, Time and Effort, and Multilanguage Learner program
Maintains records, tools, and communication through Skyward, Google, and Outlook
Processes documents and materials (e.g. schedules, agendas, mail, etc.) for the purpose of disseminating information to appropriate parties.
Engages in regular, timely, friendly, and efficient communication, both verbal and written to all stakeholders.
Coordinates arrangements for conferences including registration, travel (flights, meals, hotels) and reimbursements.
Responds to inquiries of staff, the public, parents and/or students for the purpose of providing information and/or direction as may be required.
Attends meetings, in-services/workshops for the purpose of coodinating events and providing support/taking minutes
Purchases curriculum and supplies in a fiscally responsible manner
Supports the Associate Director of Teaching & Learning for the purpose of providing assistance with her/her administrative functions
Maintains regular and consistent attendance and is punctual to assigned duties.
Exhibits a team mindset and approach with colleageus, staff, families, and communities.
Coordinates interpreter and translation support for multilingual families or students
Upholds board policies and follows administrative procedures
Assists in upholidng and enforcing school rules, administrative regulations, and board policies
OTHER FUNCTIONS
Assists the HiCap, Ed Tech Specialist, Academic Coaches, outside consultants, BEST (Beginning Teacher Support Team), K-12 Content Teacher Leaders, Multilanguage Learner Coordinator, Interpreters, etc. for the purpose of ensuring work is accurately completed in a timely manner.
All other duties as assigned.
MINIMUM QUALIFICATIONS
Demonstrated ability to efficiently operate all other commonly used office equipment - including ability to type 50 wpm and operate a 10 key calculator with accuracy
Demonstrated exceptional communication skills, both verbal and written
Demonstrated abilitiy and willingness to wokr as part of a team to plan and carry out events and other duties.
Formal training or experience preparing reports using spreadsheets and database software such as, but not limited to, Excel, Skyward, Google, etc.
Must possess respect, awareness and appreciation of diversity among individuals.
Must possess positive and effective human relations skills – including ability to project a friendly and caring attitude towards all patrons of the school district both by proper verbal and written business communication
Must possess ability to uphold board policies and follow administrative procedures
Demonstrated ability to respond to inquiries of staff, the public, parents and/or students for the purpose of providing information
Demonstrated ability to responsd discretely and appropriately to information provided by staff and parents
Must possess ability to handle confidential matters appropriately and ethically
Demonstrated ability to work effectively as a team member and analyze situations to define issues, draw conclusions, and determine resolutions and/or action plans
Must possess ability to be accurate, detail oriented, organized, dependable, and tactful
Demonstrated ability to use proper grammar, spelling and punctuation in written and oral communication, plus be proficient in mathematics
Demonstrated ability to perform general office procedures using standardized methods, including answering phones, filing, and efficiently maintaining accurate records and files
Demonstrated ability to utilize relevant computer programs including word processing, spreadsheet, and relational database systems
Must possess ability to multi-task with interruptions, be self-motivated toward assigned tasks, work independently with limited supervision, work well under pressure, and consistently meet required deadlines
Must possess ability to accept direction and constructive criticism
Willingness to successfully upgrade skills in order to meet changing job conditions
Neat, clean personal appearance and traits that make him/her a good role model for students; work apparel should be appropriate for a safe and professional work environment
EDUCATION/EXPERIENCE
AA degree preferred and/or prior job related experience with increasing levels of responsibility; strong background in budgeting and experience with Microsoft Office Suite and Google
WORKING ENVIRONMENT
The usual and customary methods of performing the job’s functions require the following physical demands: some lifting, carrying, pushing, and/or pulling; some stooping, kneeling, crouching, and/or crawling; and
significant fine finger dexterity. Generally the job requires 80% sitting, 10% walking, and 10% standing. Must be able to lift, move, and carry 60 pounds of testing material
