The Prep Bay Coordinator is responsible for assisting Solotech clients during tour preparation. This role acts as a direct link between the touring crew and Solotech Project Management to provide any requirements the crew may have during their time in our facility. Clear communication and attention to detail are pivotal in this role to facilitate a smooth and organized prep and ensure client satisfaction.

 

Your day will look like this:

  • Maintain a clean organized prep area.
  • Reserve prep space for any upcoming shows or projects via MONDAY BOARD.
  • Ensure all equipment is in the requested prep bay prior to the client’s arrival and in an organized manner. 
  • Communicate with Project Managers and Department Managers concerning any equipment shortages.
  • Ensure the equipment is presentable according to Solotech standards and fully functional.
  • Ensure clear communication between the client, shop personnel, coordinators, and project managers. 
  • Assist clients with any additional equipment they may require for the show by working with Project Managers and coordinators to ensure gear availability.
  • Act as the main point of contact for the client and liaison between the client and warehouse department managers.
  • Handle any additional gear changes or movement into the assigned prep area.
  • Ensure accurate containerization in R2 for tour manifests including ensuring that all road cases, racks, are properly filled according to their order with the correct accessories and stickers.
  • Assist the Touring Crew, Warehouse Manager and Dock Supervisor with staging equipment and loading trucks.
  • Assist the Warehouse Manager and Dock Supervisor by properly dispatching orders into the inventory system.
  • Responsible for updating in the inventory system any updates the client makes to their gear usage.
  • Responsible for maintaining and organizing the Pak Out Tool Kit inventory and all other tools.
  • Assist the Returns Team with tour “de-preps” when necessary
  • Other duties as assigned by department manager.

Your profile:

  • High school Diploma or GED
  • Minimum one (1) year of experience in live events.
  • General technical knowledge of all the following departments (audio, lighting, video and rigging)
  • Knowledge of the R2 inventory software (an asset)
  • Knowledge of Office 365 (Word, Excel, Outlook)
  • Ability to work under pressure and adapt to change.
  • Ability to manage several tasks simultaneously.
  • Ability to communicate clear and effectively.
  • Excellent internal and external relationship skills.
  • Ability to analyze and solve problems.
  • Excellent sense of priorities and schedule management.
  • Highly developed sense of organization.
  • Teamwork oriented.
