We're looking for someone to join our team as a Program Coordinator-Residency who:
The Program Coordinator – Residency at Orange and Butler serves as the key liaison between the site and the external medical schools or sponsoring residency programs. This position is responsible for coordinating all onsite aspects of resident education while they rotate through the FQHC. Responsibilities include onboarding, schedule coordination, documentation, and supporting the day-to-day integration of residents into the clinic environment. The coordinator ensures a positive educational experience, compliance with institutional requirements, and seamless collaboration between the site and the sponsoring academic institution(s).
Essential Functions:
- Acts as the primary point of contact for visiting residents and their sponsoring institutions
- Coordinates all onboarding activities for incoming residents, including EHR access, training modules, workspace assignments, and orientation schedules.
- Develops and manages rotation schedules in collaboration with clinic leadership and external residency coordinators.
- Ensure that all residents meet site-specific requirements (e.g., licensure documentation, BLS/ACLS, immunizations, background checks).
- Maintains accurate records of resident schedules, evaluations, attendance, and completion of site requirements.
- Facilitates ongoing communication with residency program administrators and preceptors to ensure training goals are being met.
- Supports faculty and clinic staff by coordinating precepting schedules and ensuring alignment with resident rotation objectives.
- Coordinates and communicates changes in schedules, staffing, or policies to residents and the sponsoring program in a timely manner.
- Organizes educational sessions, case reviews, and other learning opportunities available at the site.
- Collects and organizes feedback from residents regarding their clinical experience at Orange and Butler.
- Ensures compliance with HIPAA, OSHA, and all applicable regulatory and FQHC standards.
- Supports preparation of reports, evaluations, or documentation required by the sponsoring institution.
- Participates in meetings or collaborative activities with program partners as needed.
- Performs other administrative and coordination duties as assigned.
- Other duties as assigned.
You'll be successful with the following qualifications:
- Associate or bachelor’s degree in health administration, Public Health, Education, or a related field preferred; equivalent experience accepted.
- Experience working in a clinical or educational coordination role, preferably in an academic or FQHC setting.
- Familiarity with graduate medical education (GME) processes and standards is desirable.
- Strong organizational skills and the ability to manage complex schedules and documentation.
- Excellent communication and interpersonal skills for interacting with clinical staff, trainees, and academic partners.
- Proficiency in Microsoft Office Suite; comfort working with EHR systems and scheduling tools.
- Ability to work independently, prioritize tasks, and manage multiple responsibilities.
- Bilingual (English/Spanish) preferred.
- Knowledge of FQHC operations and community health center environments is highly desirable.
- Bi-lingual (English/Spanish) strongly preferred but not required.
