Budget and Finance Assistant

The Budget and Finance Assistant provides support in routine activities of the budget and finance department, preparing documents and reports, as well as assisting with other matters related to the budget and finance area.
RESPONSIBILITIES
- Update the budget system (planned and actual), reflecting activities and commitments from the Project’s Operational Plan.
- Upload scanned documents, categorize expenses, prepare debit or credit note requests, and maintain updated records of project commitments and expense projections.
- Verify codes, descriptions (full expense history), dates, amounts, supplier names, and the validity of documents uploaded to internal financial platforms.
- Monitor the planned vs. actual budget and propose corrective actions when needed.
- Perform other related duties as assigned.
- Review and verify financial reports from implementing partners.
- Reconcile transactions between the bank and internal platforms.
- Request expense reclassification when necessary (tracking execution amounts and corresponding codes).
- Conduct budget analysis and monitoring for projects.
- Be familiar with donor requirements and provisions.
WORKING CONDITIONS
- Remote work, with a focus on administrative activities.
- Frequent in-person participation is required for meetings, field trips, and other activities, including travel to remote areas within Brazilian territory.
QUALIFICATIONS
Required
- Up to 2 years of experience providing administrative and financial assistance to project teams; experience with environmental projects related to public policies is desirable.
- Knowledge of administrative process management and financial reporting.
- Proficiency in Office 365 (Excel, Outlook, Teams, OneDrive, SharePoint, Word, PowerPoint, among others), especially in email tools, document preparation, financial spreadsheets, presentations, and reports.
- Familiarity with operational policies and procedures, finance, and procurement.
- Ability to consult and verify accounting and financial information.
- Strong communication, negotiation, and coordination skills, including clear and appropriate written communication tailored to specific audiences.
- Ability to handle a variety of high-volume administrative tasks with dynamism, proactivity, and agility, while maintaining quality and meeting deadlines.
- Basic level of English.
Preferred
- University degree completed or in progress in Business Administration, Economics, Accounting, or other related fields.
