Description
The Administrative Assistant is responsible for supporting the Executive Director, Department Directors and other administrative staff and to provide customer service and program registration to customers.
$17.00 per hour
This position is 19.5 hours per week. Wed-Fri 9:00am-4:00pm
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Provides clerical support to Executive Director, Department Directors and other administrative staff i.e. filing, typing, distributing mail, copying, faxing, gather/research information, bind books and overall office organization.
- Represents the Park District as a first point of contact to residents, customers, participants.
- Provides a friendly, professional and positive atmosphere for park district patrons, answers routine inquiries on park district services from residents, participants, and vendors, directs questions to appropriate staff person.
- Accountable for completing all clerical functions accurately and timely according to PPD guidelines and expectations.
- Works with confidential material and must display the utmost discretion and professionalism in handling those materials.
- Attend Park Board committee meetings and prepare minutes as needed.
- Respond to internal and external phone calls, e-mails, comments and suggestions in a timely manner.
- Provide accurate information regarding programs, permits, rentals and registration.
- Responsible for purchasing departmental office supplies in accordance with District purchasing policies.
- Assists with building responsibilities including opening and closing.
- Works in coordination with all internal departments to reach overall strategic objectives of the District.
- Perform all job tasks within the rules and guidelines of the Park District’s safety program.
- Performs any additional related tasks as required
Requirements
- 2 years practical experience in administrative / office experience preferred.
- High School diploma required.
- Equivalent work experience will be considered.
- Must have mode of transportation available.
- C.P.R. and A.E.D. certified required; ability to certify within 6 months of hire.
- Ability to develop and maintain working relationships with internal departments.
- Proficient knowledge with Microsoft office programs.
- Ability to follow direction and work independently.
- Strong organizational skills with the ability to manage multiple tasks and prioritize effectively
- Strong verbal and written communication skills.
