JOB DESCRIPTION:

The Brand Media & Product Marketing Coordinator plays a pivotal role in supporting both brand media buying and product marketing initiatives. This position ensures smooth execution of media contract and proposal processes, while also contributing to the development and organization of product marketing communications. This role requires a detail-oriented, organized, and proactive individual who thrives in a fast-paced, collaborative environment.

 

JOB ROLES AND RESPONSIBILITIES:

Brand Media Buy Support

Support the Senior Brand Media Buyer throughout the media buying lifecycle: from strategic planning and vendor selection to negotiation and execution.

Contract Management

•           Review contracts for accuracy and completeness.

•           Submit contracts to Legal for signature and track progress.

•           Request client countersignatures and distribute executed contracts to Legal and Finance.

•           Upload finalized contracts into production grids and booking systems.

•           Maintain organized physical and digital contract filing systems.

Proposal Support

•           Assist in the development of proposal decks, media plan overviews, and presentations to support brand media initiatives.

•           Develop and maintain a structured filing system for proposals and related materials.

Finance

•           Act as a liaison between the Brand Finance team at UVI and external vendors to ensure smooth communication, timely processing, and alignment on financial matters.

•           Support the Senior Brand Media Buyer in maintaining accurate budget tracking, reconciliation, and reporting across campaigns and vendor partnerships.

 

Product Marketing Support

Support the Brand and Product Marketing Manager in crafting product marketing communications and briefing internal teams, with a focus on understanding how these efforts shape the client experience.

•           Conduct competitive research and benchmarking to support product positioning.

•           Assist in the creation of product marketing decks, including resort-specific and client experience materials.

•           Own the updating and maintenance of briefs, product positioning decks, and other team-created assets.

•           Gather, consolidate, and arrange content for the bi-weekly internal newsletter.

•           Provide general meeting and calendar support for the team.

•           Ensure product information is accurate, up to date, and consistently represented across all marketing touchpoints (from website and brochures to resort fact sheets and internal materials).

Qualifications include:

•           Strong organizational and time-management skills.

•           Excellent attention to detail, accuracy, and project management capabilities.

•           Effective communicator with experience collaborating across teams, departments, and leadership levels.

•           Comfortable managing multiple priorities in fast-paced, deadline-driven environments.

•           Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).

•           Experienced with document management systems and e-signature platforms (e.g., DocuSign, Adobe Sign).

•           Skilled in cross-functional collaboration, with exposure to both marketing and operations.

•           Strategic thinker with a passion for innovation and emerging trends.

•           Strong writing and presentation development skills.

•           Ability to translate business needs into actionable marketing strategies.

•           Passion for the travel & hospitality.

•           Willing and able to travel domestically and internationally (10% or as needed).

 

EXPERIENCE: 

Outlined below are the academic qualifications and length and type of experience deemed necessary by Unique Vacations Inc. in order to perform the role of Brand Media and Product Marketing Coordinator competently.

Education: Bachelor’s degree in Marketing, Communications, Hospitality, Business, or related field. 

Experience: Minimum 2 years of experience in administrative coordination, contract management, competitive research or a similar role.
