JOB SUMMARY:
The Human Resources and Executive Administrator is responsible for the administrative support of day-to-day Human Resource operations, including recruiting non-exempt positions, new hire orientation and onboarding, employee training, and benefits and HRMS maintenance. This person also provides support to the CEO, Board of Directors, and Leadership Team.
DUTIES and RESPONSIBILITIES:
Human Resources Functions: (75%)
- Prepares and posts job vacancies by collaborating with department managers to determine needs. Reviews resumes, conducts phone screens, and schedules interviews. Administers pre-employment checks, including but not limited to, reference checks and appropriate license verification.
- Creates orientation schedules for new hires to ensure consistency in onboarding and training, including submitting requests for appropriate technology access and equipment. Conducts the Human Resources segment of new hire orientation. Ensures all appropriate documentation needed is obtained prior to hire for credentialing and privileging. Follows a modified process for student interns. Maintains the distribution and collection of office keys for incoming and out-going staff.
- Maintains employee and policy information in multiple HR platforms including the HRMS (Paylocity) and LMS (HealthStream). Deploys routine tasks such as mid-year and annual reviews, and regular trainings. Follows-up on outstanding items such as overdue employee training, benefits enrollment, and performance appraisals.
- Runs reports from HRMS and LMS as requested.
- Maintains Company forms, policies, and documents library.
- Provides excellent service to our internal customers (our employees) by responding to requests and questions in a timely, knowledgeable, and thorough manner. Escalates requests and questions to CPO if out of scope.
- Responds to external requests for information timely and appropriately, including providing employment verification to external agencies as well as monthly and quarterly reports to the Bureau of Labor Statistics.
- Supports engagement and culture enhancement efforts by serving on the Fun Committee and helping to plan employee events. Plans and executes appreciation days for each functional group. Responds accordingly to employee major life events (bereavement, new baby, etc.).
- Manages CME and CEU process by tracking and maintaining budgets for each eligible employee and enrolling in classes as appropriate.
Executive Assistant Functions: (25%)
- Under the direction of the CEO, serves as a Board liaison. Assists with Board of Directors and Committee meetings by maintaining meeting schedules, gathering & disseminating materials, and preparing presentations. Maintains all Board of Director’s electronic records, takes meeting minutes, records bylaw changes, updates member contact lists and committee assignments.
- Assists with company correspondence, all staff communications and newsletters.
- Prepares marketing and outreach materials with Leadership to synchronize internal and external communications and promote key information/messages across the organization and to external audiences.
- Maintains Executive Office electronic file system for signed contracts, State & Federal reporting documents, and key contact distribution lists.
- Plans, participates in, and plays an administrative role in coordinating company-wide projects, steering committees, staff meetings & internal and external events.
- Provides additional administrative support by performing tasks for Billing/Finance & Population Health departments on company-wide software systems.
- Performs other duties as assigned.
Requirements
Associate’s Degree in Business Administration or related field, plus at least two years of previous HR experience, or equivalent combination of experience and education.
Must have current knowledge of Federal and State laws and regulations.
Healthcare industry experience strongly preferred.
