Overview:

SOS International LLC is seeking a C-Level Executive Assistant to support our Chief Executive Officer (CEO). The Executive Assistant to the CEO serves as a strategic partner and administrative backbone to the Chief Executive Officer, ensuring seamless operations and enabling the CEO to focus on high-impact leadership priorities. This role requires exceptional organizational skills, discretion, and the ability to manage complex schedules, communications, and cross-functional coordination. The Executive Assistant will represent the CEO’s office with professionalism and credibility to internal and external stakeholders.

Responsibilities:

Executive Support

  • Manage the CEO’s calendar, travel, and daily schedule to maximize efficiency and focus on strategic priorities.
  • Anticipate administrative needs and prepare materials for meetings, presentations, and travel.
  • Represent CEO office in communication and coordination with external Customers and partners.
  • Draft, review, and manage correspondence and communications on behalf of the CEO.
  • Handle sensitive and confidential information with discretion and integrity.
  • Coordinate logistics for Executive Leadership Team (ELT) meetings, including agendas, pre-reads, minutes, and follow-ups.
  • Ensure alignment between the CEO’s office and ELT/BU Leadership, facilitating clear communication and responsiveness.
  • Support ELT planning sessions, and cross-functional initiatives.

Administrative Excellence

  • Act as the central point of contact for the CEO’s office, screening and prioritizing inquiries.
  • Maintain organized records, documents, and files in compliance with governance standards.
  • Partner with the COO and other executive office team members to ensure smooth operating routines.
  • Continuously improve administrative processes to enhance effectiveness and streamline workflows.
Qualifications:
  • Bachelor’s degree in Business Administration, Communications, or related field; advanced degree preferred.
  • Minimum Five years of experience supporting C-level executives, preferably in a high-growth or mission-driven organization.
  • Mastery of Microsoft Office Suite and executive calendaring tools.
  • Exceptional written and verbal communication skills.
  • Proven ability to manage multiple priorities with precision and professionalism.
  • Strong judgment, discretion, and emotional intelligence.
  • Display solutions oriented mindset.
  • Experience with government contracting environments.
  • Familiarity with organizational protocols, compliance, and executive-level reporting.
  • Ability to foster trust and build relationships across diverse teams and external partners.
Working Conditions:
  • Normal office working conditions.
  • Around-the-clock availability and occasional non-traditional work hours including nights, weekends, and holidays, as needed.
  • Occasional domestic and international travel, which may include austere territories.
  • Occasional physical exertion, including lifting and/or moving objects or packages weighing up to 25 lbs.
