Reporting to Manager, Administration, Oil Royalties, the Professional, Land and Mineral Tax is responsible for a block of accounts for which Computershare is the “owner” of the title to the mines and minerals on behalf of the beneficial owners of these minerals. This position performs file research to determine beneficial ownership of land and is involved in extensive written and verbal communication with clients, oil companies and land personnel. In addition, this position maintains records of the responses to lease proposals, acts in accordance with client direction, verifies lease documentation, arranges for execution of documents and diaries for payments under the terms of the lease. This position is also responsible for the review and verification, reconciliation, billing and payment of the mineral taxes associated with the province in which the lands are located.

 

A role you will love

 

• Receive lease proposals, horizontal well proposals, units, saltwater disposal wells and other land development initiatives on behalf of the beneficial owners of lands registered in the name of Computershare and process these proposals. This includes:

• Corresponding in writing and over the phone with beneficial owners to obtain their direction.

• Corresponding in writing and over the phone with land men in order to clarify offers, present our clients’ concerns and questions, and inform them of counter and other industry personnel, proposals on behalf of clients.

• Reviewing, verifying and preparing documents to ensure that they are executed according to requirements and client direction.

• Monitoring receipt of the bonus and rental payments as applicable to ensure that the terms and conditions of the lease agreements are being met.

• Preparing the account for payout ensuring recovery of Trustee expenses and assessment of our fees.

• To research file documentation and system information to determine availability of lands for lease upon receipt of a lease proposal and to confirm beneficial ownership of the lands.

• To maintain a diary system to ensure that payments are received in a timely manner and in accordance with the provisions of the leases.

• Review and verify mineral tax billings, reconcile and bill the tax to the appropriate clients/accounts and remit to the appropriate authority within established timelines. In terms of volumes the Saskatchewan tax involves the invoicing to 450 parties of approximately $340,000 in tax, on 218,442 acres of minerals under administration. The Alberta tax involves the review and allocation of approximately 850 tax statements, the preparation of 90 spreadsheets that are sent to the oil companies to confirm their payment of the taxes as applicable and the calculation and collection of tax reserves and payment of the taxes from 100-200 trust accounts.

• Receive mineral tax payments, ensuring records are updated to reflect recovery

• Follow up regularly on the invoices to maximize recovery, to update and/or adjust billings as required throughout the year on the custom-designed software package, TRIP, and on other records as required throughout the year as information is received in order that the tax is invoiced and paid effectively each year.

• In times of high work volumes or staff absence, the two positions with these responsibilities will assist each other to ensure that work is handled effectively.

• Provide assistance and support with other projects as required.

 

What will you bring to the role

 

• High School graduation supplemented by post-secondary accounting courses.

• CAPLA (Canadian Association of Petroleum Land Administrators) certification or equivalent business experience to ensure the required specialized knowledge of the land and leasing process.

• 2-3 years of progressively responsible administrative and client service experience in an oil and gas environment, particularly in the area of Land Administration.

• Knowledge of and experience in royalty trust administration

• Basic to intermediate knowledge of PC applications (word processing, spreadsheet and e-mail)

• Basic accounting knowledge
