Summary Description

As a Sales & Title Administrator, you are the backbone of the dealership’s sales operations—where precision meets passion. You’ll manage the end-to-end processing of motorcycle deals, ensuring every transaction is compliant, accurate, and delivered with the premium customer experience that defines Harley-Davidson. From titling and finance coordination to dealership reporting and office support, you’ll keep the gears turning behind the scenes while embodying the energy, professionalism, and pride that our brand represents.

Key Results Areas

  • Process and finalize motorcycle sales and related title/DMV documentation
  • Support Sales and Finance departments with deal flow and administrative efficiency
  • Maintain accurate and compliant records across all transactions
  • Deliver prompt, friendly service to both internal and external customers
  • Ensure dealership systems, supplies, and reports are always organized and up to date

 

Major Duties and Responsibilities

 

Sales & Deal Processing

  • Receive, process, and finalize all motorcycle deals accurately and efficiently.
  • Prepare, verify, and submit all legal transfer, tax, and title documents to the DMV.
  • Register and manage backend products (warranties, service contracts, etc.) with appropriate vendors.
  • Process finance paperwork, verify payoffs, and ensure timely funding from lenders.
  • Create and maintain deal jackets, ensuring completeness and compliance.
  • Process cancellations, refunds, and handle incoming/outgoing checks as required.

Sales Administration & Office Coordination

  • Support the Sales team with daily administrative tasks including reports, trackers, and documentation.
  • Print and prepare all required forms such as NADA/NPA reports, OFAC checks, DRS invoices, and Birth Certificates.
  • Maintain and distribute sales folders, forms, and office supplies to ensure seamless operations.
  • Assist with new hire photo audits, uniform orders, and recognition programs (e.g., Fit Specialist of the Month).
  • Coordinate with Harley-Davidson systems (SWR, HDU) to ensure inventory and customer data accuracy.
  • Assist with auditing and reconciling motorcycle inventory.
  • Collaborate with Finance and Accounting on documentation, payment processing, and reconciliation.

Customer & Team Support

  • Provide professional, courteous service to customers and coworkers at all times.
  • Develop strong working relationships across departments to promote teamwork and operational harmony.
  • Handle customer inquiries related to registration, title issues, or deal documentation with empathy and efficiency.
  • Support dealership events, promotions, and customer recognition efforts as needed.

Qualifications & Requirements

  • High school diploma or equivalent required; associate degree or higher preferred.
  • Prior experience in automotive or motorcycle titling, accounting, or administrative coordination preferred.
  • Strong organizational skills with attention to detail and accuracy.
  • Proficiency in Microsoft Word, Excel, and Outlook; comfort learning dealership software (Lightspeed, CDK, etc.).
  • Excellent written and verbal communication skills.
  • Ability to handle confidential information with integrity.
  • Professional appearance and demeanor, with a positive and enthusiastic attitude.
  • Ability to multitask in a fast-paced environment and meet deadlines consistently.

Physical Demands

  • Occasionally required to lift up to 40 lbs.
  • Frequent computer work requiring close vision.
  • Occasional bending, stooping, or reaching.
  • Work performed primarily in an office environment, with occasional visits to other dealership areas.
