Specialist - ESOP Management

About the Role

We're looking for a highly organized and detail-oriented specialist to join our team, focusing on the administration and management of our Employee Stock Option Plan (ESOP). This is an excellent entry-level opportunity for someone looking to build a career in equity compensation, finance, or HR operations. You'll be instrumental in maintaining accurate ESOP data, supporting reporting, and coordinating across finance and external audit teams.

Key Responsibilities

ESOP Administration & Data Management

  • Data Entry and Integrity: Accurately upload, verify, and maintain all ESOP-related data (grants, vesting schedules, exercises, cancellations) in the equity management system (e.g., Shareworks, Carta, etc.).
  • Record Keeping: Ensure all employee records related to ESOP participation are up-to-date and compliant with plan documents and regulatory requirements.
  • Vesting Management: Monitor and track vesting events, ensuring timely and accurate communication to employees.

Reporting and Analysis

  • Report Generation: Prepare routine and ad-hoc reports related to outstanding grants, vested shares, exercise activity, and overall plan utilization for internal stakeholders (HR, Leadership).
  • Participant Support: Assist in preparing personalized statements and educational materials for ESOP participants.

Cross-Functional Collaboration & Compliance

  • Finance Support: Work closely with the Finance and Accounting teams to provide necessary data for ESOP cost accounting and financial reporting (e.g., ASC 718/IFRS 2).
  • Audit Liaison: Assist in the preparation of documentation and analysis required for internal and external audits related to the ESOP.
  • Process Improvement: Identify and suggest improvements to current ESOP administration processes to increase efficiency and accuracy.


Qualifications

Required

  • Education: Bachelor's degree in Finance, Accounting, Business Administration, or a related quantitative field.
  • Experience: 0-2 years of experience in a finance, HR, or administrative support role. Internship experience is a plus.
  • Technical Skills: Advanced proficiency in Microsoft Excel (VLOOKUPs, pivot tables, data manipulation) is essential.
  • Attention to Detail: Exceptional organizational skills and a strong commitment to data accuracy and quality.

  • Analytical Thinking: Ability to analyze data and identify discrepancies or trends.
  • Communication: Strong written and verbal communication skills for effective interaction with employees, finance partners, and auditors.
  • Integrity: High degree of discretion and ability to handle confidential and sensitive employee information.
  • Proactive: A self-starter who can manage multiple tasks and deadlines effectively in a fast-paced environment.
