Housekeeping and Buildings Coordinator

Department: Properties & Maintenance Location: Rockford, IL

YOUR IMPACT
The Housekeeping & Building Supervisor Coordinator is responsible for consistently creating a clean, safe, functional and inspiring environment, a critical component of the YMCA experience. They will provide leadership to the housekeeping and building supervisor teams, including day-to-day and deep cleaning schedules and responsibilities. This position will also lead a team to build positive relationships with staff, volunteers, members and program participants through effective listening and communication. This role is crucial in providing a welcoming and safe environment for all.

    EXPECTATIONS & RESPONSIBILITIES
    To support the branches, programs, and people they serve, regular remote work arrangements are not available for this position. While occasional remote work may be permitted with prior approval from the supervisor, coordinators are required to maintain a consistent on-site presence and should not expect regular remote work arrangements.

    Leadership & Staff Development

    1. Develops strategies to motivate staff and achieve goals. Provide clear job expectations for all supported roles.
    2. Drive team engagement and effectiveness, modeling and setting high standards for service and leadership.
    3. Serves as a member of their branch, Housekeeping & Building Supervisor Department and YMCA leadership teams. Will attend all scheduled meetings, included, but not limited to, branch team meetings, operation meetings, and leadership meetings.
    4. Fosters a culture that builds trust and treats all team members and colleagues with respect; constructively and immediately deals with conflict; gains commitment and provides clarity; holds team members accountable and cultivates peer accountability; and achieves results to meet strategic and operational goals.
    5. Provides direct supervision to leads and frontline staff to ensure their professional development and success.
    6. Recognizes, develops, and strategizes department staffing needs.
    7. Manages and supports through staffing, scheduling, payroll and programming. Follows all YMCA policies and industry-leading practices as well as local, state and federal regulations and laws.
    8. Creates, implements and documents an annual training/meeting calendar that meets or exceed leading industry standards, YUSA standards and the association's general liability insurance recommendations.
    9. Seeks and provides regular feedback. This includes: meeting with all housekeeping and building supervisor staff two times per year; meeting with housekeeping and building supervisor team 6 times per year; meets with association housekeeping and building supervisor peers monthly.
    10. Participates in committees as requested.
    11. Supports their Branch Executive Director through hosting and leading annual branch meeting.
    12. Collaborates with their Branch Executive Director in the hiring process.
    13. Partners with Branch Executive Director and association peers to develop Association Housekeeping & Building Supervisor Staff Handbook, ensuring all policies and procedures are up to date annually.

    Operations & Program Management

    1. Oversees daily cleaning tasks to ensure a spotless and welcoming facility. This includes common areas, restrooms, locker rooms, and additional spaces to attract and retain members.
    2. Develops and implements quality control measures to attract and retain members by ensuring that the facility and grounds are functional, safe, clean, organized, and inspiring.
    3. Ensures a �best in class� member experience.
    4. Maintains an inventory of cleaning supplies, tools, and equipment. Ensure timely replenishment, repair, and proper storage.
    5. Responds promptly to member and participant concerns, typically within 24-48 hours, across phone, email, and other communication channels.
    6. Develops and implements strategies to build capacity and provide exceptional customer experience using participant usage and feedback data.
    7. Responsible for meeting, and/or exceeding budgeted revenue while appropriately managing expenses.
    8. Participate and support staff, annual, and capital campaigns.
    9. Be visible, accessible, and responsive in membership areas.
    10. Ensures all communication materials are accurate, updated, and brand compliant.
    11. Responsible for following all Human Resource processes.

    Facilities & Safety

    1. Partners with association maintenance team to ensure a safe and effective preventative maintenance program that follows all manufacturer recommended guidelines is active and in place.
    2. Conducts daily rounds to all areas of the facility and outside grounds to check cleanliness, organization, and ensure staff have resources needed for success.
    3. Maintains cleanliness in spaces involves ensuring that all areas are sanitary, tidy, organized, and free from clutter, creating a welcoming environment for all. After events, it is essential to systematically put items back in their designated places, restoring order and preparing the area for future use.
    4. Prepares staff to respond in the event of an emergency. This includes training on the facility Emergency Response Plan, serving as a responder to security and disciplinary incidents, fire alarms and medical emergencies. In an emergency, summons any needed professional assistance (e.g., police, fire, EMS) and follows their directions.
    5. Maintain and retain all records for preventative maintenance, staff training and certifications, program member attendance and evaluation of employees and participant skills according to YMCA, local, state and federal rules, regulations and laws.

    General Duties

    1. Ensure proper facility opening, closing and security.
    2. Serves as a member of YMCA Leadership Team and supports the overall objectives of the YMCA, sharing in Manager on Duty responsibilities.
    3. Ensures uniform and personal appearance are clean and professional.
    4. Ensures a strong emphasis on character development while fostering an inclusive environment that celebrates diverse perspectives, promotes understanding and respect, and creating experiences where everyone feels valued and empowered to contribute.
    5. Reports damaged equipment or safety hazards promptly.
    6. Performs any other functions necessary for smooth and efficient operation.

    SCHEDULE & COMPENSATION: 1 Position

    1 Position: SwedishAmerican Riverfront YMCA
    Full-Time, Non-Exempt
    40 hours per week, Monday - Friday 3:00 - 11:00 pm
    Occasional weekend hours
    $20.00 per hour

    QUALIFICATIONS

    • High school diploma or equivalent, required
    • 2 years of customer service experience, required
    • Prior housekeeping experience, preferred
    • Knowledge of cleaning chemicals and supplies, along with familiarity with health and safety regulations
    • Strong attention to detail to ensure thorough cleaning and maintenance
    • Strategic thinker, inspiring communicator, and inclusive leader
    • Energized by building systems and relationships that make people stronger�inside and out
    • Current Praesidium Academy training
    • CPR, AED and First Aid Certifications required within 90 days
