We are looking for an Administrative Lead to join our collaborative team at Memorial Health!
What You'll Do:
Administrative:
- Assists Emergency Department Leadership with operational duties such as timekeeping, scheduling, and staffing. Assists with attendance tracking.
- Collects data for quality tracking purposes and monitors reporting phases, as delegated.
- Conducts internal audits for as delegated for process improvements.
- Proficient with departmental and organizational applications for timekeeping, scheduling, communication, filing, materials ordering, learning management system, informational platforms, and policy management.
- Assists with recruiting and onboarding operations, including HR communication, new hire preparation, organization of new hire processes and readiness, and filing of essential documentation.
- Assists with certification, required education, and competency tracking.
- Assists with ordering and maintaining office supplies and departmental patient supply decrement process.
- Performs monthly audits EPIC/IHIS and ensure downtime files are stocked and available; is familiar with and follows all downtime processes.
- Prepares departmental meeting agendas and takes minutes, as delegated.
- Assists with staff communication and departmental planning efforts.
- Manages departmental stocking organization and presentation of central stations.
- Maintains stocking and departmental checklists relative to supplies, outdates, and quality control measures.
- Communicates on call calendars and schedules for team accessibility.
- Maintains confidentiality at all times to protect patient’s privacy and maintains Health Insurance Portability and Accountability Act (HIPAA) privacy and security regulations.
- Enters and retrieves data and related information from electronic medical record to assist with departmental operations and patient flow.
- Verifies accuracy of information to ensure appropriate patient identification and communication.
Interpersonal
- Supports leadership initiatives and efficiencies.
- Fosters an atmosphere of positive culture.
- Assume a role in the new hire process for introduction phase of department orientation.
- Assists with resourcing as needs are identified for patients, visitors, providers, and staff.
- Provides and documents coaching and mentoring to GAstaff when opportunities are identified.
- Assists with patient experience improvement opportunities.
- Models closed-loop communication to ensure completion of tasks and delegations and proper handoff.
- Escalates communication and departmental needs in timely fashion to Leadership.
- Conducts interactions in a professional manner.
- Exercises protection of core values during conflict management.
- Demonstrates the philosophy of the team concept.
- Attends meetings and committees as assigned.
Clinical Assistance
- Maintains competence to assume role as the GA in the department. .
- Performs clinical role within scope when staffing has a critical need identified by Charge RN or Leadership.
Education
- Attends all mandatory GA education and in-services.
- Completes initial orientation and competencies per Human Resources established time guidelines.
- Completes annual competencies and unit specific competencies per Human Resources established time guidelines.
- Completes mandatory health requirements (i.e., annual TB testing, Hepatitis-B immunization, annual physicals as indicated etc.)
- Maintains continuous certification in American Heart Association’s BLS.
Emergencies
- Responds to emergencies outside normal working hours. (i.e, internal and external disasters).

- Demonstrates regular and predictable attendance.
- Attends all mandatory education and in-services (i.e., team training, safety, infection control, etc.); completes mandatory health requirements.
- Employee performs within the prescribed limits of the hospital’s and department’s Ethics and Compliance program and is responsible to detect, observe and report compliance variances to their immediate supervisor, or upward through the chain of command, the Compliance Officer, or the hospital hotline.
Performs other duties as required or assigned.
Requirements
Completion of high school education with coursework in secretarial skills and medical terminology or equivalent.
Attains American Heart Association’s BLS certification within two (2) months of employment and maintains continuous certification.
