As an Executive Administrative Assistant in Global Securitized Products group, you will provide comprehensive administrative support to executives across various levels of seniority within the CIB Securitized Products Group. This position requires meticulous attention to detail, proactive problem-solving skills, and the ability to excel in a dynamic, deadline-driven environment. You will take full ownership of your responsibilities, demonstrating initiative and confidence to complete projects independently. Strong communication skills and professionalism will be important as you represent your team across the organization.
Job responsibilities:
- Oversee core administrative functions autonomously, proactively communicating any issues or delays.
- Accurately and efficiently process a high volume of invoices and expenses, serving as a subject matter expert on relevant policies and procedures.
- Arrange and oversee complex domestic and international travel itineraries.
- Coordinate logistics for meetings and events, including providing off-site support when required.
- Draft and deliver clear, high-quality correspondence to stakeholders at all organizational levels.
- Support onboarding for new team members, ensuring desk setup and system access are completed.
- Collaborate effectively with other administrative assistants, fostering a supportive and cooperative team environment.
- Provide assistance with overflow work and special projects as needed.
Required qualifications, capabilities, and skills:
- Minimum five years of administrative experience, preferably supporting executives at the Managing Director level or equivalent.
- Proven ability to support multiple executives simultaneously.
- Excellent interpersonal, written, and verbal communication skills.
- Self-motivated and enthusiastic, with the ability to remain composed and effective under pressure.
- Highly organized and detail-oriented, with a strong commitment to accuracy.
- Demonstrated ability to exercise independent judgment in a variety of situations.
- Proficiency in Microsoft Office and collaboration platforms (e.g., Teams, OneNote).
- College degree preferred.
- Team-oriented, with a willingness to go above and beyond to support colleagues.
Note: This role requires five days in the office (Mon-Fri) and will not support Hybrid option
