Morgan, Lewis & Bockius LLP, one of the world’s leading global law firms with offices in strategic hubs of commerce, law, and government across North America, Asia, Europe, and the Middle East, is seeking a Facilities Manager resident in our Boston, MA office. The Facilities Manager will oversee and provide guidance for the facilities and support services of assigned office(s). Reporting to the Director of Administration for assigned office(s), provide oversight and direction in areas to include but not limited to: space planning; security; furniture; maintenance; renovation and construction projects, office moves; conference and meeting rooms; oversee services contracts; managing capital equipment; providing direction to the delivery and operation of services departments as assigned (conference rooms, housekeeping, security, copying, mailroom, supplies, office services). In addition, the Facilities Manager will be responsible for ensuring consistency of facilities processes and best practices for their assigned office(s). This includes but is not limited to developing standardized procedures for visitors, hoteling and conference spaces, mail room, hospitality, and sustainability practices
This position will reside in our Boston, MA office and will be onsite 5 days per week.
Key responsibilities of this position include:
Manage office space requirements and usage coordinating with departmental and practice group management.
Collaborate with Director of Administration and local office management on all construction projects and provides project oversight.
Provide direction on decisions relative to furniture and other office equipment.
Provide management oversight for office moves and renovation/construction projects.
Ensure the safety and maintenance of the physical facility.
Collaborate with Director of Administration and local office management on consistency of office design and appearance.
Liaise with building management, engineers, security, and janitorial staff to ensure issues with the physical facility are resolved in a timely manner.
Maintain inventories on capital equipment and furniture.
Liaise with Local IT on all issues related to IT services related building infrastructure.
Ensure the building and maintenance standards and practices are provided in a timely manner including heating and cooling, carpeting, electrical, plumbing, kitchen equipment, and furniture and fixtures are in good working condition.
Collaborate with Director of Administration and local office management on parking garage, lease and non-leased spaces and costs where applicable.
Collaborate with Director of Administration and Procurement Services Department to negotiate, approve and monitor compliance with Firm and office vendor contracts.
Ensure Facilities Management system is maintained.
Other duties as assigned.
Operations and Services Management:
Oversee office space systems, including HVAC, plumbing, electrical, and mechanical components, ensuring proper maintenance and timely repairs.
Manage preventive maintenance schedules for all critical systems, including commercial kitchen equipment, fire suppression systems, hot water heaters, and HVAC units.
Monitor and maintain fire life safety systems, ensuring compliance with fire codes, testing standards, and inspection requirements.
Supervise and coordinate the work of maintenance staff, vendors, and contractors to ensure quality and timely completion of work.
Respond to facility-related emergencies and prioritize work.
Maintain records of maintenance activities, inspections, and repairs.
Ensure compliance with local, state, and federal regulations regarding building systems and environmental health and safety standards.
Support capital improvement projects, renovations, and new equipment installations.
Plan and direct the operations of the Conference Centers.
Plan and direct the operations of the mail room/copy service center.
Plan and direct the operations of the Fitness Center.
Oversee office housekeeping functions.
Establish and enforce security standards and procedures.
Liaise with building management on developing and maintaining required emergency preparedness procedures for all personnel.
Provide guidance for and communicates the business continuity plan, Fire, and Life/ Safety program.
Provide guidance for plans and preparations for office disasters and emergencies.
Monitor inventory tracking of artwork and furniture in Facilities Management systems for disaster recovery.
Other Qualifications and Requirements:
Strong working knowledge of:
HVAC systems, including maintenance requirements.
Commercial kitchen equipment, such as ovens, dishwashers, refrigeration, and exhaust systems.
Fire suppression and life safety systems, including sprinklers, alarms, and kitchen hood systems.
Mechanical systems such as water heaters, water filtration systems and building automation systems
Coordinate office moves, space planning, and furniture installations.
Ability to safely move heavy furniture and equipment as needed.
Train staff and support personnel on proper moving techniques and safe handling of heavy items.
Physical Demands:
While performing the duties of this job, the employee is regularly required to sit, use hands to finger, handle or feel, and talk and hear. The employee is frequently required to stand and walk and occasionally required reach with hands and arms; climb or balance and stoop, kneel, crouch, or crawl. The employee must occasionally lift and/or move up to 30 pounds and move larger items with the assistance of moving equipment.
Specific vision abilities required by this job include: close vision and ability to adjust focus.
Education and Experience:
A bachelor’s degree; and
A minimum of 10 years directly related experience, including at least 2 in a supervisory or leadership role; or equivalent combination of education and experience.
A basic knowledge of / be proficient in the following software: FM Systems map program, Visual Lease, BigHand, Pro Watch security system, Chrome River, Intapp, MS-Office (MS Word, PowerPoint, Excel), iManage, Adobe Reader, Adobe Photoshop, Power PDF Advanced, Outlook, Webex, Teams, Citrix.
