GENERAL DESCRIPTION OF POSITION

To contribute to the efficient operation of a school office so that it can enhance the education process.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

  1. Operate standard office machines and assist the admin assistant in performing general school related secretarial duties. This duty is performed daily.
  1. Answer the telephone in a professional and timely manner. 
  1. Help maintain a positive school image. 
  1. Substitute  procurement  & AESOP management of leave requests. 
  2. Assist with checking students in and out. 
  1. Assist with maintenance of school records required for school attendance. 
  1. Perform special projects as requested by building administrators. 
  1. Assist in the updating of the computerized student data. 
  1. Mail distribution / Open incoming freight, check against packing slip, label and distribute. 
  1. After in-service training, assist in administering first aid to control contagious or emergency medical problems or administer medication in the absence of the school nurse. 
  1. Classroom coverage when needed until a substitute is secured or for short teacher meetings. 
  1. Assist in the updating of the computerized staff directory and emergency information. 
  1. Copy and mail records of withdrawing students. 
  1. Calculate volunteer hours reporting to Public Relations Manager. 
  1. Assist in preparation, production, and distribution of school forms, bulletins,  and handbooks. 
  1. Perform any other related duties as required or assigned.

 

QUALIFICATIONS

To perform this job successfully, an individual must be able to perform each essential duty mentioned satisfactorily.  The requirements listed below are representative of the knowledge, skill, and/or ability required.

 

EDUCATION AND EXPERIENCE

Mental alertness and adaptability to office and field area work routines. Equivalent to four years high school or GED, with particular emphasis during high school in office skills, shop skills, or others, plus 2 years related experience and/or training, or equivalent combination of education and experience.

 

COMMUNICATION SKILLS

Ability to effectively communicate information and respond to questions in person-to-person and small group situations with customers, clients, general public and other employees of the organization.

 

MATHEMATICAL SKILLS

Ability to add, subtract, multiply and divide numbers. Ability to perform these mathematical skills using money and other forms of measurement.

 

CRITICAL THINKING SKILLS

Ability to utilize common sense understanding in order to carry out written, oral or diagrammed instructions. Ability to deal with problems involving several known variables in situations of a routine nature.
