GENERAL SUMMARY

The Shop Administrator will process and maintain all documentation related to the maintenance management program. This role will prepare essential reports and provide administrative and communication support services as directed to ensure effective maintenance informational flow. The role will work under general supervision where routine duties are performed with minimal supervision. Standard practices or procedures allow the employee to proceed alone at routine work. There is occasional check of work while in progress and work is reviewed upon completion. Typical work hours are Monday to Friday, 8:00am to 5:00pm. Occasional overtime may be required in this position. Good judgment and common sense is required in all duties and any other tasks assigned. Minimal overnight travel (up to 10%) may be required. This job description provides an overview of responsibilities and task to be performed. It is not intended to be an all-inclusive job description as needs tend to change over time.

QUALIFICATIONS

  • Complies with all safety policies, practices, and procedures. Reports all unsafe conditions and actions to a supervisor and/or Manager Safety and Health.
  • Maintains a clean and orderly work area and meets other housekeeping needs as required by Sunrock, MSHA 30 CFR 56.20003, and OSHA 29 CFR 1910.22.
  • Acts as custodian of the Computerized Maintenance Management Information System software (CMMIS), maintaining an orderly flow of work orders, mechanics’ time, purchase orders, and stock requisitions through CMMIS, while handling routine deviations from established procedures on his/her own and reporting exception deviations to the Vice President Plant & Equipment Services.
  • Reviews and controls all data entry, thereby improving system credibility as a vital tool for the improvement of maintenance service to the entire company:
  • Making entries
  • Closes jobs to equipment history and the proper accounts as soon as completed
  • Resolve daily transaction problems
  • Saves and backs up current files daily
  • Preparing acquisition documents
  • Stores Requisitions for items in authorized inventory
  • Prepares Purchase Requisitions/Orders utilizing required software system for authorized purchases
  • Prepares Repair Orders for in-house fabrication
  • Maintains essential records and files.
  • Sets up and maintains Equipment Records for all equipment.
  • Posts vital information to ensure accurate tracking of maintenance work collaboratively with the entire maintenance organization
  • Maintains the PM Repair Order control systems and prints and distributes those due for scheduling. Will be trained on Tenna as this task is becoming digital.
  • Prepares and distributes accurate and meaningful management control reports and periodic statistical information as required to determine maintenance effectiveness
  • Participates in budgetary preparation, tracking, and analysis to include the following responsibilities:
  • Provides requested reports for periodic analysis of cost trends
  • Provides historical equipment cost information
  • Keeps the Vice President Plant & Equipment Services properly informed of abnormal or critical situations and seeks advice on matters outside the Administrator’s knowledge or authority
  • Makes recommendations for system improvement(s)
  • Spends time in the plants to become more familiar with equipment, parts, and processes
  • Participates in proactive team efforts to achieve departmental and company goals
  • Assists with Parts Inventory Management
  • Performs some parts receiving
  • Performs some parts stocking and some stock picking. To include cycle counts as directed.
  • Administers the records retention and destruction procedures for your department according to the retention schedule outlined in the Records Management Program Manual.

EDUCATION AND/OR EXPERIENCE

  • Associate’s degree (A. A.) or equivalent from two-year college or technical school required; or six (6) months to one (1) year of related experience and/or training required. Other combinations of education and experience may be considered.

CERTIFICATES, LICENSES, REGISTRATIONS

  • Current North Carolina Driver’s License required

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED

  • · Ability to read and interpret documents, in English, such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence in English. Ability to speak effectively before groups of customers or employees of the organization in English.
  • · Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
  • · Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
  • · HIGH IMPORTANCE on reporting: Proficient personal computer skills including electronic mail, record keeping, routine database activity, word processing, spreadsheets, excel, Crystal reports, Google DOC, month end reporting etc.
  • · Ability to handle multiple tasks simultaneously.
  • · Ability to interact well with others.

  • The physical activity level required is sedentary physical activity performing non-strenuous daily activities of an administrative nature.
