The American College of Physicians (ACP) is looking for a highly organized HR Coordinator to join the Human Resources department. ACP, a national organization of internal medicine physicians with headquarters in Philadelphia, is the largest medical specialty organization and the second-largest physician group in the United States with more than 162,000 members worldwide. This is a full-time hybrid position with 2 days in-office per week required. 

The HR Coordinator will play a pivotal role in providing administrative support to the HR department that will include precise record keeping and effective coordination of Human Resources activities including onboarding new staff, supporting benefits initiatives, and helping to streamline department processes.  

Specific responsibilities include but are not limited to: 

HR Operations: 

  • Accurately complete change of status and separation checklists
  • Coordinate the tuition reimbursement and service award programs
  • Maintain and order inventory of HR supplies, raffle prizes, and branded merchandise
  • Monitor department email inboxes and triage/respond to inquiries as needed
  • Monitor and ensure payment of all HR invoices through Finance systems
  • Assist with HR records retention
  • Respond to requests for employee information

Recruitment Support: 

  • Accurately complete new hire checklists
  • Update weekly recruitment activity report
  • Perform administrative tasks related to the Ryan Mire internship program
  • Coordinate onboarding and facilitate day one HR processing for new hires, including I-9’s
  • Handle administrative tasks associated with the 90-day evaluation process

Qualifications: 

  • Bachelor's degree and at least 1 year of relevant human resources experience preferred, or 2-3 years of administrative support experience with an associate's degree or high school diploma 
  • Experience using HRIS, ATS, and performance management software preferred
  • Excellent communication and computer skills including Microsoft 365
  • Strong process orientation, attention to detail, and problem-solving skills required. 
  • Ability to multitask and to be a self-starter with strong organizational skills needed. 
  • Ability to maintain confidentiality a must.
