TITLE: Property Manager
ELIGIBILITY FOR OVERTIME: Exempt
REPORTS TO: SER Executive Management Team
Job Summary: Oversees the operation of the building facilities, including preventative maintenance of building structure and equipment, financial review (budgeting, vendor payables and all tenant receivables), lease administration, as well as establishing capital improvement budget, supervising staff and tenant relations.
Duties and Responsibilities:
Financial
- Prepare the annual budget for property using Microsoft Excel or budgeting software in collaboration with Accounting and SER CFO
- Monitor, project and report on current cash needs and deficiencies in collaboration with the SER CFO for the property
- Review general ledger entries by accounting
- Prepare monthly variance analysis for the property
- Review cam/tax reconciliation statements with the accountant and SER CFO
- Work with the SER CFO to set financial goals and complete 3-, 5- and 10-year capital projections
- Analyze utility consumption and identify opportunities to reduce costs
- Responsible for rent collections
Tenant Relations
- Develop positive working relationships with all tenants
- Ensure that all tenant inquiries and complaints are timely and satisfactorily addressed using appropriate software for tracking and follow-up
- Monitor tenant build-out projects
- Plan periodic tenant relations events with the Property Administrative Assistant
- Monitor tenant work order requests both from a financial and ongoing relationship management perspective
Leasing
- Conduct tours of facility for prospective tenants with the leasing team
- Construction management oversight and project time and cost tracking
- Keep options and encumbrances updated at all times
Lease Administration
- Monitor and report on lease compliance (both by landlord and tenant)
- Follow up and report on rent delinquencies
- Abstract leases and monitor rent rolls to be proactive in reaching out to tenants prior to lease expiration, or to catch any accounting discrepancies
Property Administration
- Monitor condition of all properties on a regular schedule
- Ensure that preventative maintenance is scheduled, performed by vendors or the maintenance team, and documented using appropriate software
- Ensure that databases are maintained and updated
- Recommend capital improvements SER Executive Management Team
- Select vendors and negotiate ordinary-course contracts
General Administration
- Develop and document property management procedures
- Lead, manage and be accountable for the performance of direct reports (the Property Administrative Assistant and the Engineering/Maintenance Team, as well as security and janitorial teams)
- Compile electronic property operation binders with the maintenance, administrative and leasing team
- Keep all floor plans updated and easily accessible by the entire team
- Manage in coordination with SER EMT capital projects i.e, Leo, PACE
- Other duties as assigned
Skills, Education & Experience:
- Minimum of 5 years’ experience in Property Management required, degree preferred.
- Ability to handle multiple projects and prioritize when necessary.
- Exceptional attention to detail and accuracy.
- Service-orientated.
- Real Estate Salesperson License preferred
- Excellent written and verbal communication skills and relationship building skills
- Proficient in Microsoft - Excel, Outlook and Word software packages.
- Knowledge of property accounting software such as MRI, Yardi or Skyline
