The Patient Services Specialist (PSS) is a senior administrative role in a healthcare setting, responsible for overseeing the front desk operations and ensuring smooth and professional experience for patients, staff, and visitors. This role blends administrative leadership with patient service duties. 

Requirements

 WHAT WILL BE YOUR KEY RESPONSIBILITIES?  


Front Desk Operations 

  • Greet and check in patients 
  • Schedule and confirm appointments 
  • Answer phones and respond to inquiries 
  • Collect co-pays and verify insurance 

Leadership & Supervision 

  • Train and mentor reception staff 
  • Create front desk schedules 
  • Ensure adherence to office policies and procedures 
  • Serve as the first point of contact for staff issues or patient complaints 

Administrative Tasks 

  • Maintain patient records (physical and electronic) 
  • Monitor and order office supplies 
  • Coordinate with medical staff and management 
  • Ensure HIPAA compliance and privacy standards 

Reporting & Coordination 

  • Generate and submit daily/weekly reports (appointments, billing, etc.) 
  • Assist with billing questions and insurance verification 
  • Collaborate with office manager or practice administrator 

WHAT ARE WE LOOKING FOR?  

  • Experience as a medical receptionist (usually 2–5 years) 
  • Familiarity with EMR/EHR systems (e.g., Epic, Athenahealth, Kareo) 
  • Strong communication and customer service skills 
  • Ability to lead a team and resolve conflicts 
  • Knowledge of medical terminology and insurance processes 
  • Organized and able to multitask under pressure
