Job Title: Executive Assistant to the President – North America

Location: Cleveland, Ohio (Remote)


About the Role:

TMX Transform is seeking a highly organized and proactive Executive Assistant to provide executive-level support to the President – TMX North America and general support to the U.S. team. This role is key to ensuring smooth day-to-day operations through calendar management, stakeholder coordination, travel planning, and general administration. You will also support internal and external communications, contributing to the efficiency, culture, and professionalism of the team.


Key Responsibilities:

Executive Support

  • Manage the Head of North America's calendar, schedule meetings, and coordinate appointments across multiple time zones.
  • Serve as the primary point of contact for internal and external stakeholders, handling inquiries and correspondence with discretion and professionalism.
  • Arrange complex travel itineraries, including flights, accommodations, and ground transportation.
  • Support the U.S. team with leave tracking and expense approvals using Project Works.
  • Prioritize and manage email correspondence to ensure timely responses and smooth information flow.
  • Provide support for business travel and team visits within the U.S.

Administrative & Team Support

  • Assist with onboarding new team members, coordinating resources, IT setup, and office logistics.
  • Liaise with global finance, HR, and marketing teams in Australia to ensure consistent processes and best practices for the U.S. remote office.

Communication & Documentation

  • Format, proofread, and edit documents to maintain high quality, accuracy, and consistency.
  • Draft internal and external communications aligned with TMX messaging.
  • Prepare meeting agendas, take detailed notes, track action items, and follow up proactively.

Stakeholder Engagement & Relationship Management

  • Build and maintain strong relationships with internal stakeholders and external clients.
  • Act as a central communication hub for day-to-day interactions across stakeholder groups.


Skills and Experience

  • 3+ years of experience in administrative support or as an executive assistant.
  • Proficient in Microsoft Office Suite, especially Excel and PowerPoint.
  • Experience with Salesforce is desirable, but not required.
