Job Description

The incumbent's primary duty is to coordinate and oversee administrative duties in the Lexington office and ensure that the office operates efficiently and smoothly. Direct management responsibility for other administrative and billing staff. Create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication, and safety. Ultimately, the Office Manager should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operation.

An efficient Office Manager needs sound judgment and strong communication and problem-solving skills. They should be a leader with plenty of patience to deal with all aspects of their job.

Position Logistics

  • Full time, 37.5 hours weekly
  • Routinely 8:00am-5:00pm, Mon-Thur, 8:00am-12:00pm, Fri.
  • Flex schedule and occasional overtime as approved by supervisor.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

 

Patient Accounts Management:

  • Direct management of administrative, Point of Entry (POE), and patient billing staff to include hiring, firing, and performance management.
  • Approve staff time via ADP and coordinate coverage.
  • Provide training for new staff as well as identify and coordinate ongoing training needs related to patient accounts and third-party billing.
  • Attend weekly staff meetings and monthly supervision.
  • Audit for correct payers, consent forms, and other electronic forms through the client system.
  • Provide day-to-day tasks within the patient billing, POE, and/or receptionist duties.

Third Party Insurance & Customer Service Responsibilities

  • Submit corrected claims and submit timely appeals. 
  • Post managed care adjustments to patient database when applicable.
  • Provide coverage for auditing and approving claims through the patient system.
  • Escalate denial trends to the Patient Accounts Director as necessary and timely. 
  • Deescalate and resolve patient dissatisfaction concerns. 
  • Manage the third-party billing dashboard for direct reports to ensure reimbursement. 

Administrative Oversight for Lexington Office 

  • Identify opportunities for process and office management improvements. 
  • Assist with office layout planning and office moves.
  • Maintaining the office condition and arranging necessary repairs.
  • Serve as the point person for office manager duties including maintenance, mailing, supplies, equipment, and billing.
  • Provide general support to visitors.

 

SUPERVISORY RESPONSIBILITIES

 

This job supervises the Lexington Receptionist, Point of Entry (POE), and Patient Accounts/Billing staff.

Education and/or Experience

High school degree/GED required; bachelor’s degree preferred.  At least two years of administrative/office related experience to include understanding of billing and insurance.
