The Department Administrative Coordinator supports the efficient operation of the Public Works Department by overseeing administrative workflows and providing high-level support to management and/or divisions within the City. This full-time role requires advanced organizational, problem-solving, and technical skills, with occasional evening and weekend work.
Note: This role will begin as onsite for the first six months, with opportunities to work a hybrid schedule after six months.
Position Duties
- Coordinate with administrative staff and office operations
- Develop and implement departmental procedures and policies
- Conduct data analysis to support budgeting, reporting, and decision-making
- Manage special projects and prepare reports for leadership
- Provide confidential support to supervisors and managers
- Onboard new staff and maintain departmental systems and intranet content
- Monitor budgets and expenditures
- Operate advanced software tools (e.g., MS Word, Excel, SharePoint)
- Answer phone calls and respond to inquiries with professionalism and efficiency
- Provide the best customer service by addressing concerns, resolving issues, and ensuring a positive experience for all contacts

QUALIFICATIONS:
- Advanced knowledge of office practices, budgeting, and applicable regulations
- Strong analytical, communication, and leadership skills
- Proficiency in Microsoft Office and other administrative systems
- Ability to manage confidential information and adapt to changing priorities
- Experience in customer service and handling high-volume phone communication with professionalism
Minimum Qualifications
Education and Experience
- High school diploma or equivalent; 2-4 years of college level coursework preferred,
- Six years of progressively responsible administrative support experience at the executive level
- Office management experience preferred
- May require relevant certification or higher education coursework as it pertains to the department/division
- Any equivalent combination of education, experience and training that provides the required knowledge, skills and abilities

- Additionally, new hires relocating to the area are required to have Washington State residency within 30 days of their start date to comply payroll tax purposes.
