JOB SUMMARY
Serves as an administrative support professional within the Human Capital Management (HCM) Division. This role is responsible for supporting Human Resources (HR) systems and delivering high-quality customer service to internal and external stakeholders. The Technician ensures the accuracy of personnel data, facilitates onboarding processes, and supports recruitment and retention efforts through administrative excellence. Additionally, this role manages the Office of Human Resources reception desk and provides clerical support to the Executive Director of HCM, ensuring a professional and efficient experience for callers, visitors, and staff.

ESSENTIAL DUTIES/RESPONSIBILITIES
- Manages the reception desk for the Office of Human Resources, serving as the first point of contact for callers and visitors, directing inquiries appropriately, and ensuring a welcoming and professional environment. Coordinates alternative coverage.
- Oversees administrative functions of the reception desk, including mail distribution, identification badge issuance, and maintenance of reception desk systems and supplies to ensure smooth daily operations.
- Prepares, maintains, and audits employee records across HRIS, Applicant Tracking, and Substitute Systems, ensuring accuracy and compliance with payroll and benefits activation timelines.
- Provide operational support for HCM platforms and deliver responsive customer service to employees and applicants and employees regarding documentation, eligibility, and procedural guidance.
- Draft, edit, and distribute professional communications including memos, instructions, and meeting minutes; ensure clarity, confidentiality, and alignment with organizational standards.
- Provide procedural guidance to schools and offices on HR systems and policies; assist prospective employees with application and onboarding processes.
- Maintain departmental budget records, enter and track purchasing and expenditure transactions, and ensure accurate documentation of financial activities. Oversee supply inventory and coordinate equipment maintenance to support uninterrupted office operations.
- Manage the Executive Director’s calendar, schedule appointments, handle incoming calls, arrange travel, and prepare briefing materials for meetings and conferences.
- Performs other related duties as assigned within the same classification or lower.

Education
- Associate's Degree in related field of education from a regionally accredited college or university required;
- Or an equivalent combination of education and experience which provides the required knowledge, skills, and abilities deemed sufficient to prepare the employee to successfully perform the duties of the position.
Experience
- Three (3) years administrative experience required.
- Or an equivalent combination of education and experience which provides the required knowledge, skills, and abilities deemed sufficient to prepare the employee to successfully perform the duties of the position.
Knowledge, Skills, Abilities and Other Characteristics
- Knowledge of Human Resources workflow processes.
- Knowledge of current Federal and State legislation relating to employment eligibility and I-9 completion.
- Excellent communication, organizational, analytical and planning skills.
- Demonstrated ability to provide excellent customer service and to meet and adhere to set deadlines.
- Ability to maintain confidentiality, exercise initiative and good judgment in the timely execution of assigned responsibilities.
- Demonstrated ability to effectively deal with Board of Education, applicants and the general public.
- Demonstrated ability to effectively work and communicate with diverse populations.
- Demonstrated proficiency with business technology applications (e.g. Video/Web Conferencing, Microsoft Office Suite -Word, Excel, Outlook, and/or PowerPoint preferred). For new permanent secretarial/clerical/technician hires, a minimum score on a pre-employment assessment is required.

CAREER LADDER REQUIREMENTS
Qualification Requirements for Employment in Higher Grade as a New Hire or Transfer requires:
- Two (2) additional years successful experience required.
- Achievement of Professional Certification or Certificate in Human Resources or Business or Completion of coursework leading towards such degree, as determined by the supervisor required.
Eligibility for Consideration for Advancement from Lower Grade to Higher Grade requires:
- Two (2) years continuous successful experience in the position at the Lower Grade level.
- Mastery of all responsibilities and duties of the position.
- Evidence of completion of additional training that may be recommended by supervisor and/or participation in approved professional development programs or courses, approved in advance by the supervisor. Successful completion of a minimum of one professional development within the last two years is required. Successful completion of job specific professional developments identified on the job description, performance evaluations and/or the supervisor’s documented recommendation are required.
- Achievement of identified goals as they relate to the needs of the district and as established by the supervisor.
- Consistent maintenance of an effective and orderly work environment.
- Consistent compliance with general office procedures such as standards contained in the AACPS Employee Handbook; demonstration of discretion and excellent customer service; regular and punctual attendance; and building dress code, including wearing AACPS ID badge.
- Above Satisfactory overall job performance for the two most recent consecutive years of Probationary and Performance Ratings. Probationary Ratings completed after January 2, 2024 will be accepted.
- Letter of Recommendation written by the supervisor.
